PA to the Deputy Head (Pastoral) and Administrator.
The successful candidate will provide comprehensive secretarial and administrative support to the Deputy Head (Pastoral), as well as to the Heads of Lower and Middle School.

Key Responsibilities

  • Managing incoming correspondence and the Deputy Head's diary.
  • Arranging appointments with parents for the Deputy Head, Assistant Heads and Heads of Year 7 to 11, and occasionally assisting with parents' evenings.
  • Taking minutes of pastoral meetings as required.
  • Liaising with parents, staff at all levels and outside agencies, including the nurse and the sports administrator.
  • Filing paperwork in appropriate physical and digital files.
  • Arranging and recording Head of Division and Head's detentions on iSAMS and CPOMS, in consultation with the relevant staff.
  • Managing the Head of Year and Head of Division detention rota.
  • Managing CPOMS Staff and CPOMS Student Safe, including liaising with the company, adding new staff and coordinating with the DSL to adjust access where necessary.
  • Preparing weekly reports for Heads of Year on merits, detentions and notices.
  • Creating bespoke reports from iSAMS and CPOMS as required, such as attendance or academic reports.
  • Ensuring Smoothwall alerts are added to CPOMS and relevant staff are informed.
  • Liaising with the Admissions team regarding new joiners and leavers, including managing safeguarding files and their timely transfer.
  • Working with the Attendance Office, IT and Compliance teams to produce reports and ensure appropriate safeguarding documentation and training.
  • Keeping pastoral documents, posters and School Portal pages up to date, ensuring information is accurately displayed and distributed.
  • Supporting additional administrative and pastoral duties, including Yondr pouch management, EDI meetings and "Every Name Matters" administration.

Skills and Experience

  • Excellent secretarial, organisational and administrative skills gained through experience as a Personal Assistant.
  • Ability to maintain confidentiality and discretion while remaining calm under pressure.
  • Exceptional organisational abilities with a keen eye for detail and accuracy.
  • Excellent telephone manner and ability to deal sensitively and tactfully with parents.
  • Confident and professional in representing the department and engaging with a wide range of audiences.
  • High standard of written and spoken English.
  • Ability to work independently with minimal supervision as well as collaboratively within a team.
  • Excellent IT skills, including proficiency in Google Docs and Microsoft Word and Excel.
  • Experience of, or willingness and ability to learn, new systems such as iSAMS and CPOMS.
  • Flexible, adaptable and possessing a positive "can-do" attitude.
  • Strong interpersonal and communication skills.
  • Commitment to safeguarding and promoting the welfare of children.
  • Previous experience working in a school or educational environment (desirable).

Salary:
Actual salary £36,000 (£43,000 FTE).

Location:
London W6 9LR.

Contract:
Permanent, full-time position, 37.5 hours per week, 38 weeks per year.
