Job Title: Conveyancing Assistant - Staircasing Team

We have a vacancy for a Conveyancing Assistant to join our Shared Ownership Staircasing team based in our Whitstable office. This is a full-time office-based role covers 08.30 – 17.00, Monday to Friday and is inclusive of a one-hour lunch break.

Our Staircasing team deal with transactions for clients who already own a shared-ownership property, who are looking to increase their share of the property.

This is an administration and customer service role providing support to our experienced conveyancers with their caseloads.

Previous legal admin experience, preferably in conveyancing is desirable but not essential, as full training will be given.

Key Duties of the Role:

  • Managing an administrative workload under the guidance of the conveyancers;
  • Providing administrative support by opening files, telephone management, filing, photocopying, email management and dealing with general day to day correspondence;
  • Drafting documents and bills under supervision using precedents and templates;
  • Dealing directly with clients, developers, Housing Associations and their solicitors, estate agencies, mortgage companies and brokers on the telephone and by email;
  • Reporting to clients on important documentation;
  • Dealing with legal enquiries from clients and other associated third parties with full support from the conveyancers;
  • Utilising third party websites such as Land Registry, Lender portals and search company portals to progress transactions;
  • To undertake additional tasks as deemed reasonable to meet the needs of the team in the delivery of excellent client customer service.

Requirements for the Role:

  • Client and customer service focussed with the ability to maintain effective communication throughout the process, and managing client requirements;
  • Ability to prioritise your workload;
  • Use IT systems efficiently;
  • Good interpersonal skills and telephone manner;
  • Highly organised with a keen eye for detail;
  • Good verbal and written communication skills;
  • Minimum of 5 GCSE's A – C/9-4 or equivalent is preferable;
  • Previous administrative or customer service experience is essential.
  • Legal and/or Conveyancing experience is advantageous but not essential.
