Role Purpose:

As our Administrative Assistant, you will be responsible for keeping our team organised and our Oxford office running effectively. You will provide administrative support for the business, handling busy diaries and complex travel, whilst also supporting our Oxford office.

You are the person who "makes things happen," ensuring that the team has everything they need to stay focused, from well-coordinated schedules to a well-maintained workspace.

A Day in the Life:

  • Administration: Provide dedicated support to the business by managing calendars, coordinating internal meetings, and handling end-to-end travel arrangements.

  • Event Logistics: Support the delivery of our internal culture, helping to organise the logistics for All Hands, socials, and team offsites.

  • Office Coordination: Ensure a high-quality daily experience in the Oxford office. You'll manage supplies, and be the main point of contact for on-site queries.

  • Supplier Liaison: Coordinate with our external partners (cleaning, maintenance, catering) to ensure services are delivered on time and standards are met.

  • Safety & Compliance: Support the upkeep of health and safety records, assisting with fire safety protocols, visitor logs, and general office compliance.

  • Proven Administrative Experience: You have a solid background in business support, with an ability to handle complex scheduling and travel logistics with ease.

  • Proactive Coordination: You are someone who anticipates needs before they arise, whether that's spotting a calendar clash or noticing that office supplies are running low.

  • Effective Communicator: You can confidently interact with people at all levels of the business, as well as external vendors, to keep operations moving forward.

  • Highly Organised: You enjoy spinning multiple plates and are comfortable balancing structured admin work with the more unpredictable nature of office coordination.

  • Problem Solver: You have a "can-do" attitude and are happy to roll up your sleeves to resolve office issues or find a better way of doing things.

  • Tech Fluent: You are proficient in tech (we use Google Workspace and Slack) and you're comfortable learning new platforms.
