The Sector Administrator will form part of Community's Central Administration Team and specialise in providing professional administrative support to National Secretaries and the union's Health & Safety and Equalities senior leads.

This role will play a key administrative part in supporting the union's industrial sectors & activities while coordinating meetings, conferences, communications, and delegate arrangements for external events.

Responsibilities will include:

  • Provide day-to-day administrative support for National Secretaries in relation to industrial sectors and National Departments (Equalities, H&S, Organising Depts)
  • Draft, format, and distribute sector newsletters, updates, and other communications to reps and members.
  • Maintain accurate records, databases, and mailing lists for the relevant sector(s) and Health & Safety and Equality Departments.
  • Provide administration support and serve as point of contact for ballot situations.
  • Organise Sector / National Dept committee meetings and conferences, including booking venues, travel and accommodation, arranging catering, and managing delegate registrations and expense claims.
  • Prepare and distribute agendas, papers, and other meeting documentation
  • Attend meetings to take accurate minutes and produce clear, timely records.
  • Coordinate Community's delegations to conferences, including TUC equality and Health & Safety conferences and other external events.
  • Manage delegate nominations, travel arrangements, and accommodation bookings.
  • Ensure relevant briefing materials are prepared and distributed to delegates in advance.
  • Work collaboratively with other members of the Central Administration Team to ensure consistency and efficiency across administrative processes.
  • Maintain confidentiality and handle sensitive information in line with union policy.
  • Undertake any other administrative tasks that may be reasonably required to support the work of the union.

Skills and Experience

  • Experience within a high-level administrative role with good working knowledge of Microsoft Office and Management Information Systems
  • Strong organisational and planning skills with the ability to manage multiple priorities and secure deadlines
  • Experience with event planning (training courses, conference & events)
  • Excellent written and professional verbal communication skills with attention to detail and ability to compile and impart information
  • Ability to work independently and as part of a team.
