The role

We're looking for a highly organised and proactive PA & Office Administrator to join us for a 12-month fixed-term period of maternity cover. In this hybrid role (London / Remote), you'll provide executive and administrative support to senior leaders, assist our People team function, and keep our office running smoothly. There may be an opportunity for this position to become permanent at the end of the fixed term.

Essential Experience

  • Minimum of 3 years proven experience as a PA and Office Administrator
  • Strong organisational and time management skills, with excellent attention to detail
  • Ability to handle sensitive information with discretion
  • Confident communicator with excellent written and verbal communication skills across all business levels
  • Proficient in Google Workspace (Sheets, slides, docs etc.)
  • Experience managing multiple stakeholders and competing priorities
  • Ability to work off of own initiative, have a proactive approach and ability to anticipate needs

Desirable Experience

  • Experience supporting senior management or executive teams
  • Experience in working across multiple time zones with scheduling
  • Background in a fast-paced environment, being able to adapt and multi task are key
  • Candidate interview coordination
  • HR Administration
  • Experience with employee communications and engagement

Job Responsibilities

Executive Support

  • Manage the CEO and CTO's calendars and inboxes, including drafting communications.
  • Handle external stakeholder communications and relationships.
  • Process business expenses for self and executives.
  • Assist with internal communications and provide personal support to the CEO as needed.
  • Manage and approve annual leave for CEO and CTO direct reports.
  • Support the Head of People with company-wide events (e.g., Summer party, Christmas party, Hackathon).
  • Coordinate and prepare content for monthly All Hands meetings, ensuring inputs are gathered and slides finalised.
  • Plan and manage company events logistics, including executive travel (domestic and international).

Office Management

  • Oversee weekly food orders and office supplies (stationery, cleaning, etc.).
  • Respond to and manage Jira tickets related to office maintenance and support.
  • Arrange annual health & safety checks

People Team Support

  • Manage Jira tickets for people-related tasks (e.g., HR system updates, employee letters, onboarding/offboarding).
  • Coordinate employee gifting for anniversaries and birthdays.
  • Liaise with merchandise suppliers for staff and customer gifts.
  • Support recruitment administration (scheduling calls, interviews).
  • Maintain the company intranet and internal information resources.
