Procurement Specialist

Visual Architects is an award-winning creative company that specializes in immersive scenography and event design. We are looking for a highly organized and commercially-minded Procurement Coordinator to join our Central Hub team and manage our crucial purchasing and supplier operations.

  1. Job Summary

The Procurement Coordinator is responsible for the efficient and cost-effective management of all company purchasing activities. This role is crucial in optimizing supplier relationships, ensuring budget alignment, managing logistics, and maintaining accurate pricing across our design and production processes. The successful candidate will be detail-oriented, a skilled negotiator, and a vital link between external suppliers and internal production teams.

Central Hub Manager

Key Responsibilities

  1. Procurement & Supplier Management

  2. Ensure all purchasing activities strictly adhere to company goals and budget constraints.

  3. Manage comprehensive supplier accounts using the internal "supplier bible."
  4. Conduct
    quarterly reviews

of supplier performance to guarantee cost-effectiveness and service quality.
- Proactively
negotiate

with suppliers and contractors to secure competitive pricing and favorable purchasing terms.
- Continuously research and secure better pricing for frequently requested and specialist products.
- Provide accountants with all purchase receipts and necessary financial documentation on a
weekly basis

- Forecast expected payments and provide accounts with a payout schedule for the following week.

  1. Inventory & Logistics Coordination

  2. Collaborate closely with the Production Manager and the Supermarket Coordinator to maintain an accurate and comprehensive supplier database.

  3. Collaborate with the Supermarket Coordinator to manage product returns and coordinate warranty processes efficiently using a strict filing system.
  4. Book and coordinate all
    freight logistics

, focusing on reducing costs while upholding quality standards.
- Accurately track and allocate internal drivers for necessary material pickups and deliveries.
- Ensure the
accuracy of pricing

on all internal costing sheets on a bi-monthly basis.

  1. Skills, Experience, and Qualifications

  2. Proven experience in a procurement, purchasing, or supply chain role.

  3. Exceptional negotiation and vendor management skills.
  4. Strong organizational skills with a keen eye for detail and financial accuracy.
  5. Proficiency in tracking budgets, managing receipts, and financial documentation.
  6. Ability to work effectively in a fast-paced environment and manage multiple tasks simultaneously.
  7. Excellent communication skills for internal collaboration and external supplier engagement.
