About the Role
The University of Oxford is a stimulating work environment, which enjoys an international reputation as a world-class centre of excellence. Our research plays a key role in tackling many global challenges, from reducing our carbon emissions to developing vaccines during a pandemic.
The University Occupational Health and Safety Office is part of the Human Resources department within the University Administration and Services. The Office provides advice on all aspects of health and safety within the University, including fire safety. Its main function is to support the University's Safety Executive Group, by monitoring compliance and formulating policies or guidance. This includes coordinating consultation exercises with the University's Consultative Committee for Health and Safety.
A small, friendly unit, the University Occupational Health Service provides occupational health (OH) services to University staff, post-graduate students, medical students, academic visitors, and some undergraduate students at its city centre location, and at one satellite clinic. The department is presently staffed by a team of a Consultant OH Physician, OH Advisers, OH Nurses, and three administrative staff.
The clinical administrator is one of those 3 administrative staff who are key to the smooth-running of the department, being the first point of contact for most of the clients and managers seeking support from the OH team. The administration roles are important enablers of both the quality and responsiveness of the OH services, and the role holders will work closely with the OHS clinical team and a range of clients and stakeholders.
About You
Essential selection criteria- Experience of managing administrative processes and client-facing work
- Ability to interpret, apply and communicate regulations and procedures
- The ability to work independently, with minimum supervision, and a willingness to resolve situations, as well as knowing when to refer issues to others
- The ability to organise own workload and to work to deadlines, evidenced by formal qualifications at (for example BTEC ND, NVQ Level 3 or equivalent) and/or significant work experience at a similar level
- Ability to use standard computer programs (Outlook, Word, Excel) and have experience of using a database
- Previous experience of working as part of a team in an office environment
- Experience of working within an HE institution or within a service industry environment
- Some experience of clinical administration, including the ability to be numerate and accurate, with excellent attention to detail and a methodical approach
- Previous experience of working with Cority or equivalent OH patient record electronic platforms
