Overview
We are seeking a professional and organised Reception Lead to join our team. The ideal candidate will be the first point of contact for visitors and callers, providing exceptional customer service and ensuring the smooth operation of the front desk. This paid position offers an excellent opportunity to utilise your administrative skills within a dynamic office environment. Will be leading a team of around 15 receptionists, so some management skills are required.
Working hours would be 25-35 overs a week, ideally over 5 days working shifts will be between 8am- 18.45pm
Duties
- Greeting visitors and clients in a courteous and professional manner
- Answering, screening, and directing phone calls efficiently using proper phone etiquette
- Managing incoming and outgoing correspondence, including emails and postal mail
- Scheduling appointments and maintaining the appointment calendar
- Data entry and maintaining accurate records using Microsoft Office and Google Workspace applications
- Assisting with administrative tasks such as filing, photocopying, and organising documents
- Front end operations, with a smooth running of reception, rotas
- Supporting other administrative staff with various clerical duties to ensure organisational efficiency
- Staff inductions, reviews and appraisals
- Dealing with front end of complaints
- Basic level of HR with employees
Requirements
- Proven office experience or administrative experience is preferred
- Strong computer skills, including proficiency with Microsoft Office (Word, Excel, Outlook)
- Excellent organisational skills with the ability to prioritise tasks effectively
- Fast and accurate typing skills for data entry purposes
- Good communication skills, demonstrating professional phone etiquette
- Attention to detail and a proactive approach to work responsibilities
- Ability to work well independently as well as part of a team
