  • Allocate work orders to the Repairs Technician, contractors, or site-based staff as directed by the Estates Maintenance Manager.

  • Monitor progress of maintenance jobs, chasing updates where required, and keeping requestors informed.

  • Maintain accurate records on the CAFM system, ensuring all jobs are updated and closed when complete.

  • Assist in scheduling planned preventative maintenance (PPM) tasks, ensuring records are uploaded and tracked.

  • Produce standard reports from the CAFM system to support monitoring of KPIs, contractor performance and compliance evidence.

  • Liaise with contractors to arrange site access, ensure permits to work are in place, and manage day-to-day queries.

  • Provide administrative support to the Maintenance Manager, including invoice checking, purchase orders and correspondence.

  • Ensure Helpdesk processes are efficient, customer-focused and continuously improved.

  • Provide excellent customer service to all staff and students when dealing with maintenance requests.
