Job Summary
We are looking for a highly organised and technically proficient Salesforce Specialist – Residential sales, to support our Salesforce platform (Sales and Marketing Cloud) and related business systems. This role is pivotal in ensuring smooth system operations, user enablement, and compliance.
The successful candidate will be working in our residential sales department, under our director of residential sales and working closely with the Technology function to manage platform issues/escalations.
Salary: £45,000
Main Responsibilities
Salesforce System Administration
- Administer and maintain Salesforce, including user setup, profiles, roles, permissions, and data integrity.
- Understand the current system configurations, workflows, validation rules, and custom objects to provide operational support to the business users in Residential Sales.
- Collaborate with stakeholders to understand new requirements and work with the Technology to plan and deliver.
User Training and Support
- Provide onboarding and ongoing training for Salesforce users.
- Develop and maintain user documentation and training materials.
Reporting – Internal and External
- Build and maintain Salesforce reports and dashboards for internal teams and external stakeholders.
- Ensure data accuracy and consistency across reporting outputs.
- Support ad hoc reporting needs and data analysis requests.
Invoicing
- Use Salesforce to support invoicing workflows and data tracking.
- Collaborate with finance to ensure accurate billing and reconciliation.
- Maintain records of invoice history and payment status.
Email Marketing – Residential Sales
- Manage email marketing through Salesforce-integrated marketing tools.
- Design and build email templates in collaboration with the marketing team.
- Ensure email marketing is GDPR compliant and follows best practices.
Compliance – GDPR And Other Regulations
- Ensure Salesforce data handling complies with GDPR and other relevant regulations.
- Maintain audit trails and support data subject access requests.
- Assist with compliance reviews and documentation.
Payments – Working with Accounts
- Support payment tracking and reconciliation within Salesforce.
- Collaborate with the accounts team to resolve payment issues.
- Ensure accurate financial data is maintained across systems.
Sales Administration – Working with Residential Sales team and Selling Agents
- Manage and update property listings, sales website
- Provide ad hoc administrative support as required by the sales team or management.
PERSON SPECIFICATION
- Proven experience with Salesforce administration and user support. With a minimum of 2 years' experience in using Salesforce.
- Strong understanding of GDPR and compliance requirements.
- Familiarity with DocuSign, email marketing platforms, and invoicing systems.
- Excellent communication and stakeholder management skills.
- Ability to work independently and manage multiple priorities.
- Salesforce Administrator certification (preferred but not required).
- Previous experience in a sales administration or property administration role (preferred).
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Proficient in Microsoft Office (Word, Excel, Outlook) and CRM systems.
