Salary: £15-17 per hour
Nottingham Counselling Service (NCS) is a well-established charity dedicated to supporting the emotional wellbeing of individuals across Nottinghamshire. As we continue to grow and expand our impact, we're seeking a meticulous and motivated Finance / Bookkeeper to help us manage our finances with accuracy and care. 1 day a week office based with some flexible working.
Key Responsibilities
Maintain accurate financial records using QuickBooks, including logging and managing transactions related to counselling services.
Prepare and issue invoices, process payments, and reconcile bank accounts.
Monitor outstanding payments and follow up on overdue accounts.
Collaborate with the Service Manager and CEO to manage cash flow, debts, and creditors.
Allocate grants and restricted funds appropriately within project budgets.
Ensure clear and compliant records for audits and financial reporting.
Produce timely management accounts and financial summaries for internal use.
Support financial planning and reporting across NCS's diverse projects and services.
About You
We're looking for someone who is:
Experienced in bookkeeping and financial administration (experience in the charity sector is a plus).
Proficient in QuickBooks or similar accounting software.
Detail-oriented, accurate, and committed to maintaining confidentiality.
A strong communicator who enjoys working collaboratively within a small, dedicated team.
Familiar with the principles of restricted and unrestricted funding (desirable but not essential).

About Nottingham Counselling Service
Nottingham Counselling Service (NCS) is a local mental health charity providing affordable counselling and psychotherapy to people across Nottingham and Nottinghamshire. Our aim is to make counselling accessible to everyone who needs it, regardless of income or background.
We are looking for a reliable and organised Bookkeeper to manage our day-to-day financial processes and support the charity's accounting and reporting needs.
Main Purpose of the Role
To provide accurate bookkeeping and financial support to ensure smooth financial operations, proper record keeping, and timely reporting to management and trustees.
Key Responsibilities
Day-to-day finance administration:
- Process payments, invoices, income, and receipts on a weekly basis.
- Enter all transactions into QuickBooks or other accounting software and file supporting hard copies appropriately.
- Maintain and update accurate financial records and databases.
Financial reporting:
- Prepare monthly financial statements, including cash flow, profit and loss, and balance sheet summaries.
- Assist in producing management accounts and reports for the CEO, Service Manager, and Trustees.
- Help prepare year-end accounts and work with the external accountant during audits.
Accounts payable and receivable:
- Pay vendor invoices and monitor bank account balances.
- Verify the accuracy of business accounts and report any inconsistencies or errors to the accountant.
- Record any discrepancies to support account reconciliation.
- Follow up on outstanding payments and ensure all receipts are logged correctly.
Payroll and expenses:
- Prepare and process employee wages in line with payroll schedules.
- Manage and record employee expense claims and ensure correct documentation and authorisation.
Support and collaboration:
- Work closely with the CEO and Service Manager on budgeting, grant tracking, and financial planning.
- Assist the Accountant with administrative duties, reconciliations, and the preparation of annual accounts.
Person Specification
Essential:
- Experience in bookkeeping, finance administration, or accounting support.
- Good understanding of bookkeeping principles and double-entry systems.
- Competent using QuickBooks or similar accounting software.
- Strong attention to detail and accuracy in data entry.
- Ability to handle confidential information responsibly.
- Organised, reliable, and able to work independently.
Desirable:
- Experience working within a charity or not-for-profit organisation.
- Familiarity with grant funding, restricted income, or charity reporting.
- Knowledge of payroll and basic HR financial processes.
