The person appointed will be responsible for providing administrative, secretarial and bookkeeping support to the parishes.
Main Duties and Responsibilities
General
— Provision of reception service including meeting and greeting visitors, answering telephones and directing calls, and responding to general enquiries.
— Sorting and distributing incoming post, and organising and sending outgoing post.
— Provision of both clerical and administrative support including word processing, letter writing, dealing with telephone and email enquiries, creating and maintaining filing systems, keeping diaries, maintaining of all records, and arranging meetings and appointments to ensure the effective and efficient running of the Parish.
— Taking bookings for Masses, baptisms and weddings, and working with all relevant parties prior to the celebrations.
— Completion of all documentation in relation to the celebration of Sacraments including registration of baptisms, marriages, confirmations and deaths in the parish registers, and production of certification as required.
— Preparation of weekly parish bulletin.
— Ongoing maintenance and monitoring of parish website and social media as required.
— Updating parish records on an ongoing basis including collation of information for parish envelope distribution.
— Observe the necessary discretion and confidentiality in all matters pertaining to parish business, parishioners' business, and all matters which may come to the employee's notice by reason of his / her work or position.
Bookkeeping
— Accurate recording of donations to the parish in the form of weekly envelope collections, using both manual and computerised systems (Lifetime software package). Banking of all such donations, as required.
— Payment of all invoices as directed by the Parish Priest / Administrator.
— Collation of all details with respect to the monthly payroll and forwarding to the Diocese.
— Administration and monitoring of parish finances, accounts and budgets, and preparation thereof, in accordance with policy determined by the Parish Priest and the Parish Finance Committee, and with the Finance Procedures of the Diocese of Dromore.
— Reporting on receipts and expenditure of parish funds as required.
— Ensuring that the central accounts of the Parish are kept up to date, and that all parish finance and administrative systems, procedures and practice meet diocesan, legal and accounting requirements.
— Compilation of monthly, and annual financial reports and statistics, as required.
— Preparation of Gift Aid claims. Liaising with Statutory Bodies, including HMRC, the diocesan finance authorities and auditors as appropriate.
Job Types: Part-time, Permanent
Pay: £12.25-£13.90 per hour
