Job summary – What to expect:
As an Occupational Health Administrator in our Environmental Health and Safety Team, you will assist the occupational health team by providing a comprehensive, efficient, and responsive administration support to the medical, nursing and physiotherapy staff of the Occupational Health Service. You will often act as one of the first points of contact for those accessing the service, requiring you to handle information with the highest level of confidentiality, and play a key role in coordinating communication between staff, managers, and clinical professionals.

Your responsibilities will include:

  • Providing essential administrative and organisational support to ensure the smooth delivery of clinical services
  • Ensuring complete confidentiality when dealing with employees and to support the department in maintaining sensitive medical information as required by the General Data Protection Regulations.
  • Demonstrating excellent interpersonal and communication skills with awareness of personal and professional boundaries due to the complex nature of the medical environment
  • Managing appointments in the appropriate diaries, avoiding conflicting schedules, taking account of the different shift patterns for users of the service and liaising with appropriate team leaders, shift leaders and HR to ensure appointments are in place.
  • Undertaking a full range of administrative duties based on the current occupational health internal policies and procedures.
  • Dealing sensitively with anxious or worried individuals during telephone contact, in person or via online communications and escalate to Occupational Health Advisors where appropriate.
  • Managing the ill health at work reports from Eco-online (the online accident reporting system) and following up on any absence caused by the incident reported.
  • Carrying out the first aid needs assessment on a bi-monthly basis, ensure first aid lists for all sites are up to date, keep accurate records of first aiders and training needs, organise training for new first aiders or refresher training for current first aiders using a variety of providers.
  • To maintain the defibrillators on all sites, checking function every 2 months and keeping accurate records of when batteries or defib pads need changing, ordering these and changing them.
  • Managing all Occupational Health documentation on the eQMS (Agile); ensuring review, update and publishing occurs in a timely manner.
  • On rare occasions you may be asked to work an evening, plenty of notice will be given.

About you:
We are looking for someone with:

  • Proven experience in administration, ideally within a health, wellbeing, or other confidential environment.
  • Computer literacy and competency in the use of all Microsoft Office Applications
  • Proficiency in the use of Microsoft Office applications including Word, Excel, Outlook.
  • Strong organisational skills, accuracy, and attention to detail.
  • Ability to handle sensitive information and maintain confidentiality at all times.
  • Familiarity with confidential record systems or secure database management.
  • Understanding of wellbeing, health promotion, or workforce resilience principles.
  • Current driving license and access to a vehicle.
  • Ability to demonstrate attention to detail whilst working under pressure and with minimum supervision
  • Excellent interpersonal, communication skills with awareness of personal and professional boundaries to the complex nature of the environment.
  • Self -awareness, assertiveness, empathy, tact and sense of respect for others irrespective of gender, social class, race or sexual orientation.

Experience & Education:
Required

  • Sound educational background (minimum GCSE) which must include a good standard of numeracy, written and spoken English.
  • Preferably administrative qualifications and experience of customer service within a health or HR environment.
  • Preferably knowledge of health and safety legislation.
