Role Summary
The role supports day-to-day finance operations across Flux's video production and broadcast projects. You will keep the ledgers accurate, ensure suppliers and freelancers are paid on time, reconcile project costs to budgets and manage payroll.
You will provide timely finance information to production managers to support the smooth running of projects, and to the management team to support the effective running and planning activities of the business.
Responsibilities
- Maintain purchase and sales ledgers; process POs, invoices, credit notes, and staff expense claims
- Reconcile bank accounts, company credit, debit and pre-paid cards. Process spend monies and bills, investigating any variances.
- Set up and maintain project cost codes; post journals and allocations to track spend by production and department
- Prepare aged creditors/debtors, chase outstanding receivables, and schedule supplier payments
- Assist with project budget reports and actuals vs. budget; flag risks and opportunities
- Process employee timesheets and payroll
- Month-end close: accruals, prepayments, deferred income, WIP, and intercompany recharges
- With colleague support, maintain fixed asset registers (e.g., cameras, lenses, broadcast gear) and depreciation postings
- Prepare VAT returns
- Improve processes and controls
- Produce cashflow forecasts
Required Skills and Experience
- Proven bookkeeping experience in a fast-paced environment (media, production, or similar project-based business)
- Strong double-entry knowledge; confident with reconciliations and month-end routines
- Proficiency with accounting software (preferably Xero) and Excel/Google Sheets (lookups, pivots)
- Familiarity with payroll preparation and handling freelancer invoices/timesheets
- Understanding of project/job costing and cost code structures
- Accuracy and attention to detail; able to meet deadlines across multiple concurrent projects
- Clear, professional communication with non-finance stakeholders (e.g. Production Managers)
- Working with sensitive data and maintaining confidentiality
Preferable Skills
- Experience in video production, broadcasting, or post-production (studio, OB, live, or factual/entertainment)
- Understanding of broadcaster/commercial workflows
- Exposure to multi-currency projects and international freelancers
- Knowledge of VAT specifics for media/production and cross-border services
- Basic revenue recognition concepts for production milestones and delivery fees
- AAT Level 3/4 or equivalent bookkeeping qualification
