The role

The successful candidate will play a key role in the delivery of the Emergency Response (ER) product.The focus of this role is to ensure the processing of subscription renewals and activities around invoicing are completed in a timely and accurate manner. Liaising with other parts of the business including the finance team and several customer facing teams is critical to ensure the processes are optimised. A key aspect of the role will be using our client relationship management system (CRM), alongside Excel workbooks specifically tailored to the delivery of products. The role will cover a broad range of activities, including elements of problem solving and securing subscription renewals.

Key Responsibilities

  • Managing and maintaining subscription renewals process (currently for ER and Chemdata), inviting renewals in advance and uploading new contracts within 2 weeks of renewal date.
  • Ensuring Emergency Response records are up to date on our client database such as company information, client communication, sales opportunities, and invoices.
  • Handling small contract changes and client letters of amendment.
  • Supporting account management queries by handling any exceptions to the renewals process, where clarification is required.
  • Assisting with queries from the central finance team relating to outstanding invoice payments.
  • Ad hoc requests (handing supplier questionnaires, client requests for documentation)
  • Engaging with various teams in the business area to support development and improvement of processes

Skills and behaviours

Essential

  • Highly organised with excellent attention to detail.
  • Reliable self-starter who can multi-task and manage tasks efficiently.
  • Expert user of Excel and other Microsoft Office products.
  • Ability to communicate effectively with clients and with a range of internal stakeholders.
  • Willingness to learn and be adaptable to a fast paced and challenging environment.
  • Comfortable working in a dynamic operational environment, sometimes requiring elements of quick decision-making.

Desirable

  • Experience of delivering a subscriptions based role.
  • Experience of working with finance systems and processes.
  • Experience of using Customer Relationship Management (CRM) systems (MS Dynamics is currently used) and Enterprise Resource Planning (ERP) tools (Agresso is currently used)
