RESPONSIBLE TO: Head of Human Resources

HOURS OF WORK: Full Time. 35 hours per week Monday – Friday, 52-week contract

SALARY: Grade B1.11 per annum (depending on experience).

ANNUAL LEAVE: 25 days holiday, plus public bank holidays per annum

JOB PURPOSE

The HR & Recruitment Compliance Administrator will provide essential support to ensure the effective delivery of HR services across the school. This role is responsible for maintaining accurate HR records, coordinating recruitment processes in line with Safer Recruitment standards, and serving as the first point of contact for HR-related queries. Working closely with the Head of HR, the HR & Recruitment Compliance Administrator will help create a positive and compliant working environment, contributing to the overall success and well-being of staff.

Main Duties

Recruitment and Safer Hiring

  • Deliver a high-quality recruitment service, supporting school recruitment campaigns and building strong relationships with candidates and stakeholders.
  • Ensure administration compliance with Keeping Children Safe in Education and Safer Recruitment guidelines.
  • Prepare recruitment documentation, organise timetables, draft and place adverts, log applications, and manage candidate communication.
  • Ensure compliance with Safer Recruitment requirements, including DBS checks, references, ID verification, right-to-work checks, and teacher checks.
  • Prepare new staff files and liaise with the Designated Safeguarding Lead (DSL) for safeguarding induction.
  • Liaise with recruitment agencies and ensure contractor and supplier compliance documentation is received.

HR Records and Compliance

  • Maintain the School's Single Central Register (SCR).
  • Update and manage the HR database (iSAMS) to reflect accurate staff details, including starters, leavers, contractual changes, annual leave, and sickness records, in line with employment law and GDPR.
  • Input new staff information into the payroll system.
  • Collate and monitor probationary review forms and safeguarding/induction training records.

HR Support and Customer Service

  • Act as the first point of contact for HR queries, providing timely and professional support.
  • Build effective working relationships with staff and managers to ensure high levels of customer service.

HR Administration

  • Draft and issue contracts of employment and offer letters.
  • Manage the HR email inbox and handle general administrative tasks for the Head of HR, including sorting post, answering calls, and drafting standard HR documents and letters.
  • Coordinate staff probation administration processes, alerts, and letters.
  • Coordinate Appraisal administration, reminders and circulate appraisal forms.
  • Absence management administration, including sickness, maternity, and paternity leave. Track absences, chase return to work forms and FIT notes, track sick pay entitlements and absence duration.
  • Manage staff name badges
  • Assist with employee wellbeing initiatives, such as recognition schemes.
  • Manage DBS checks for new starters and renewals, track progress, update databases, and remind employees to subscribe to the DBS Update Service.

Training & Awareness

  • Have oversight of training courses for Statutory compliance TES and Boxphish
  • Maintain training tracker records and ensure timely renewals.

UKVI

  • Maintain accurate records for staff members that have a VISA
  • Keep accurate records for any sponsored members of staff
  • Complete the necessary annual checks

Other Responsibilities

  • Undertake additional tasks as required, following appropriate training.
  • Comply with Health and Safety regulations and all school safeguarding, equality, and diversity policies.
  • Participate in the school's appraisal scheme and engage in professional development.
  • Support any other duties commensurate with the role as reasonably requested.
  • Job description may be reviewed and amended annually following discussion with the Head of HR and Bursar.

Probation Period

The first six months of employment will be probationary. The probationary period may be extended at the School's discretion.
