JOB DESCRIPTION

Annual Salary £26,434 to start with. Progression is subject to completing and maintaining necessary training and development programs.

Permanent, full-time – 35 hours per week

30 days (Including bank holidays) paid annual leave entitlement.

ABOUT US

SEAG is a community transport charity that enables access to a fuller life by offering affordable, mobility-adapted transport for individuals with a range of disabilities and health needs, allowing them access to a better life in the city of Edinburgh.

We are currently seeking to appoint a Supervisor, responsible for a fleet of 16 vehicles.

DUTIES

Despatching Duties

  • Take bookings, arrange journeys, handle enquiries, and provide requested information.
  • Ensure smooth scheduling of journey requests.
  • Perform general clerical work, including filing, correspondence, and day-to-day office operations, including preparation of drivers' sheets.
  • Use office equipment correctly, including computers, telephones, answering machines, and photocopier.
  • Communicate with staff regarding their shifts

Driving Duties(when neccessary)

  • Drive SEAG vehicles as required.
  • Provide necessary assistance to passengers before, during, or after travel, consistent with their transport needs. Minimum lifting of passengers is allowed.
  • Use equipment provided correctly to ensure passengers travel safely and comfortably.
  • Take responsibility for daily upkeep of vehicles and equipment (and other vehicles when required), including basic maintenance and cleanliness. Report any faults.
  • Complete neccessary paperwork and administration
  • Undertake any induction and in-service training programme as required.
  • Assist in training other staff and volunteer drivers/escorts when required.
  • Maintain contact by telephone or mobile phone as necessary.

Service Delivery and Public Relations

  • Assist with organisation of the Service in line with Company objectives and policies to ensure operational efficiency and continuity.
  • Support development of the Service to improve take-up, customer facilities, and trip availability.
  • Undertake relief driving duties as necessary.
  • Distribute information and respond to enquiries.
  • Liaise with local agencies and members of the public.
  • Ensure staff and passenger safety and handle complaints.
  • Be on call for issues outside office hours.

Staff

  • Assist with organisation and deployment of staff and volunteers.
  • Arrange testing, training, and assessment, or undertake these tasks as required.
  • Provide day-to-day supervision and support, including assistance with disciplinary and grievance proceedings.
  • Attend staff and committee meetings as necessary.

Vehicles

  • Contribute to the design and specification of service vehicles.
  • Assist with deployment and operational control of vehicles.
  • Make arrangements for servicing, maintenance, and repairs.
  • Schedule regular vehicle inspection checks.

Office Premises

  • Arrange minor repairs and maintenance.
  • Report other defects or problems.
  • Arrange and monitor security, health, and safety.

Administration and Finance

  • Issue, receive, and check log sheets.
  • Record statistical information and prepare monthly returns and reports.
  • Complete other reports as required.
  • Follow banking and financial procedures.
  • Order and control supplies and equipment as authorised.
  • Assist in fundraising activities.
  • Attend courses, training, and meetings as required.

QUALIFICATIONS AND SKILLS

  • Experience in supervising and organising staff is preferred.
  • Good communication skills (both oral and written) are essential.
  • Candidates must possess knowledge of vehicle maintenance and scheduling.
  • Experience of clerical work and working in an office is essential.
  • Candidates must hold a clean driving licence for a minimum of two years.
  • Must have a minimum D1 category licence.
  • Experience driving larger vehicles and/or buses would be preferred.
  • Candidates should have a good knowledge of Lothian.
  • Previous experience using IT is essential.

NATURE OF CONTRACT AND NOTICE

Ongoing employment is dependent on funding from local councils, who currently provide the majority of SEAG's funding. A six-month probationary period applies. Statutory notice periods will be observed. Membership of the PVG scheme, including the necessary checks, is required.
