The Role:
We're looking to hire an
Office Coordinator
to be the friendly, welcoming presence at the heart of our shiny new office in Oval, London. This role will support the day-to-day office operations, acting as the front of house office receptionist whilst also supporting back of house office administration. This role also plays a massive part in overseeing the Health & Safety of our ever-growing team of 100+ and will be responsible for managing the end to end facilities management processes.

The ideal candidate will enjoy working with others, is approachable, and thrives in a people-focused environment. You are naturally organised, proactive and are confident to manage everything in our office in an orderly and organised Wild way. You will support the team with any office-related queries and have a passion to keep our office running smoothly.

You will report into our Head of People but will work closely with the wider team to support them in their office needs.

Please note this is a junior role, however, we welcome applicants from all stages of their career.
Some of your responsibilities:

  • Office Administration:

  • Providing administrative support to the wider team, being on hand to support general office queries

  • Managing and overseeing office supplies and stock cupboards
  • Assist with internal communications and scheduling

  • Front of House

  • Being located at our office entrance means you will warmly welcome visitors to the office and Manage and operate the office reception

  • Manage general emails, and post/receive deliveries
  • Maintain the appearance and function of the reception and communal areas
  • Assist in planning and running internal events or wellbeing initiatives.
  • Work dynamically with the team to implement changes to help the office run smoothly and be a fun and energetic environment.

  • Meeting & Facilities Coordination

  • Organise meeting rooms, including setup, equipment, and refreshments

  • Ensure communal spaces are tidy, stocked, and functional (e.g. kitchen, printers, stationery)

  • Health & Safety / Safeguarding

  • Assist in implementing and monitoring H&S procedures, ensuring we are constantly up to date on Health & Safety Regulations to maintain a safe working environment

  • Be on hand when incidents occur in the office; acting as a Mental Health First Aider, Go-to First Aider, Fire marshal and completing incident report forms where appropriate.
  • Support access control and maintain visitor logs.

Prior experience in an office support, admin, or coordination role is a bonus

  • Prior experience in an office support, admin, or coordination role is a bonus
  • Experience with front-of-house duties or facilities support is a plus.
  • Knowledge of and an interest in Health & Safety procedures to maintain a safe working environment.
  • First Aid or Fire Warden certification (or an interest in being certified & trained)
  • Proactive, adaptable and customer-service focused.
  • A positive attitude and willingness to support the team and drive efficiency and operational changes.
  • Confident and an effective communicator as you will represent Wild and welcome visitors to our offices.
  • A genuine passion for the planet, sustainability and the mission of Wild

Additional Information:

  • May require occasional early or late coverage (e.g. for events or deliveries).
  • Training can be provided for H&S, First Aid, or Fire Warden responsibilities.
