About Us:
We are an ACS-accredited security / cleaning company, committed to maintaining the highest professional standards. We are looking for a reliable and professional Screening & Vetting Office Administrator / Receptionist to join our team and be the first point of contact for visitors, staff, and clients.
Successful applicant will need to ensure all employees working within the company are fully compliant with SIA and BS7858 standards. The Screening and Vetting Officer will be responsible for conducting thorough background checks, maintaining accurate records, and ensuring all staff meet the company's and industry's security vetting requirements.
Key Responsibilities:
· Conduct pre-employment screening in line with BS7858:2019 standards for all security personnel.
· Verify identification, employment history, education, and address history for all applicants.
· Obtain and review references, right-to-work documentation, and criminal record (DBS) checks.
· Maintain up-to-date and compliant employee vetting files (both electronic and paper-based).
· Liaise with applicants, referees, and relevant authorities to obtain required information.
· Ensure all personnel records meet SIA Approved Contractor Scheme (ACS) and company audit standards.
· Track and manage renewal dates for SIA licences, right-to-work documentation, and other time-sensitive documents.
· Support audits (internal and external) by providing compliant screening files and reports.
· Maintain confidentiality and adhere to GDPR and company data protection policies.
· Assist with onboarding of new employees ensuring vetting completion before deployment.
· Welcome and assist visitors in a professional and friendly manner, handle incoming calls and correspondence & accept and manage deliveries.
· Carry out general office administration duties, including filing, data entry, and record-keeping.
· Tea / coffee making duties, assisting in keeping kitchen area clean & tidy
Key Requirements:
· Previous experience in reception or office administration preferred - BS7858 training or certification (advantageous).
· Be able to work in a busy environment, prioritize tasks and manage multiple cases at once.
· Strong communication and organisational skills
· Ability to work independently and as part of a team
Job Types: Full-time, Permanent
