Schedule: Monday to Friday, 40 hours per week

Main Purpose of the Job: We are looking for a proactive Administrator to support Fortix's operations and contribute to the effective delivery of supported housing services. This role will involve working closely with the management team and HR consultant to ensure smooth processes and successful project outcomes.
Key Responsibilities:
- Provide Fortix with business administration support and coordination.
- Assist in developing, implementing, and reviewing policies with the HR consultant.
- Manage basic budgets/expenses, liaising with management and HR on admin/budget matters.
- Update and maintain operational systems and procedures to ensure effective management and agreed project outcomes.
- Coordinate project administration, working with management and project leads.
- Maintain positive relationships with staff, services, colleagues, and external agencies.
- Undertake admin duties to keep the Management Committee and sub-groups informed through reports and accurate meeting notes.
- This is not exhaustive, there may be additional ad-hoc duties as requested by management.

Main Duties:
- Carry out general administrative duties (filing, typing, copying, binding, scanning, postal services, etc.).
- Handle administrative tasks for multiple projects, supporting staff across the business.
- Organise and schedule meetings and appointments with staff and partner organisations.
- Collaborate with HR to ensure all new staff receive inductions and existing staff have up-to-date training.
- Produce and distribute reports, emails, updates, and relevant forms to support project progress.
- Develop and maintain efficient filing systems (manual/automated) and improve organisation processes to boost staff productivity.
- Order and manage office supplies, including stocktaking.
- Provide general support to visitors, suppliers, new recruits, and those making enquiries.
- Manage preventive maintenance, call for repairs, maintain equipment inventories, and evaluate new equipment.
- Draft letters, annual reports, and emails on behalf of management, providing personal assistant support.
- Coordinate office procedures, take meeting notes, and distribute as needed.
- Conduct risk assessments and ensure Health & Safety audits in the office.
- Work with HR to ensure GDPR compliance.
- Manage the DBS process, including risk assessments for new starters, and report concerns to the barring service.
What we're looking for:
Relevant Experience:
- 2+ years of administrative experience
- Recent experience in collating and presenting data
- Proven experience with computer applications (Word, Publisher, PowerPoint)
- Experience working alongside management
Aptitude, Skills, and Abilities:
- Strong organisational skills with flexibility
- Understanding of safeguarding and GDPR compliance
- Excellent oral and written communication
- Methodical with strong attention to detail
- Experience working with vulnerable adults
