This is an exciting and integral role at Varsity Nine, that is set to evolve alongside the ambitious growth plans that Varsity Nine have carved out for the next five years and beyond. Our Events Manager will be an organised, diligent and adaptable individual with a passion for sport and a keenness to be part of delivering positive change within the industry. 

Proven experience in Sports Event Management is essential - armed with in-depth industry experience and knowledge, you will be required to work across all areas of the business to successfully plan, manage and execute all of our events - both nationally and internationally. This includes the organising and management of our trials, training camps, international tours and showcases. You will work closely with our Directors and wider departments to orchestrate all the components required to deliver these events successfully. Attending some of the events you have planned, will also be an important and enjoyable part of the role, ensuring smooth delivery and running on the day, and experiencing the fruits of your labour. ROLE OVERVIEW

You will be responsible for:

  • The organisation and running of all trials events, which includes but is not limited to;
  • Venue booking
  • Organising kit and equipment
  • Coordinating with our Placement team to arrange appropriate teams/client attendance
  • The event itinerary and schedule
  • Point of contact/liaison at the venue during the event
  • Booking officials
  • Organising staffing requirements e.g. video analyst in attendance etc.
  • Budget responsibilities
  • Prep and clear-up
  • Ensure post event actions are completed, such as trialist headshots, CRM updates, data packs sent out, Trustpilot review & player feedback notes
  • In addition to trial events, the organisation and running of;
  • Training camp - based nationally
  • Tours - based internationally, including locations such as Australia, the UAE and the USA
  • Showcase events, including our annual US Coaches showcase event - based nationally

The management of these events will include duties similar to those outlined above under 'trials'.  

  • Working closely with the marketing team to support the promotion of the events
  • Run internal event mop ups sessions, that report on how the event went and what we can do better at next time - from the perspective of both clients and staff
  • Providing all event financial backup to our accounts department in a timely manner to ensure our budgets, and suppliers, are respected. Eg. Raising Purchase Orders and forwarding invoices for payment.

In line with the above, your duties will include:

  • Organise, brief and coordinate Varsity Nine staff ahead of, and during, an event
  • Administrative duties such as booking facilities, officials and hotels (if required) for those working on events, ensuring the right insurance policies are in place
  • Maintaining an events' schedule for the year
  • Alongside our Directors, set clear objectives and targets for the events with plans regarding how to meet these
  • During the events (trials in particular), maintain good comms with clients and their parents and keep key stakeholders informed of any issues
  • Gather data and feedback to create post event reports
  • Identify areas that requirement improvement/innovation and suggest/implement a strategy to enhance our events accordingly
  • Good financial planning so that the event's budget is maintained
  • Diligent reporting and appropriate comms regarding any issues at an event that coincide with our welfare and safeguarding policies
  • Carrying out risk assessments/welfare and safeguarding checks alongside our Head of Welfare to ensure that all our events meet our safeguarding standards
  • Managing multiple events concurrently - there may be times when you are in the process of planning a future event whilst attending a current one

REQUIRED SKILLS & EXPERIENCE

  • Proven experience in sports event management
  • Passion for sports
  • Positive and enthusiastic attitude
  • A multitasker - the ability to manage multiple events and people simultaneously
  • Ability to collaborate and enjoy working within a diverse team environment
  • Highly organised
  • Excellent time management skills
  • Good at problem solving
  • Capable of thinking on your feet and being adaptable
  • Calm and resilient under pressure
  • Fully IT literate - capable of using G Suite
  • "Roll up your sleeves" - can do attitude
  • Keen to learn and develop your skills alongside the business' growth
  • Experience working in events management within the sports sector
  • A people's person - we are a team at Varsity Nine
  • Have the legal right to work in the UK
  • Hold a valid passport and be able to travel internationally without restrictions

ROLE SPECIFIC REQUIREMENTS

  • Ability to work outside of normal working hours when attending an event/tour
  • Ability to travel nationally; this may include overnight stays
  • Ability to travel internationally - including but not limited to; Europe, USA, Australia and UAE (for periods of 2 weeks or longer)

PACKAGE

  • £32,000 - £42,000 per annum, depending on experience
  • Workplace pension scheme
