Position Overview

There's a unique opportunity to join MN Support Services, one of the leading commercial cleaning companies in London. We are currently seeking a goal-oriented and experienced bid manager to join our dynamic team and take ownership of bid management, from research to submitting bids, for both the private and public sectors.

This is a permanent, full-time role, Monday to Friday, from 9:30 to 17:30. The role is initially on-site but can become hybrid after the probation period. If successful, you will join a close-knit, highly motivated and supportive team based at our head office in London W10 4BQ.

Who You Are

You are a goal-oriented, experienced bid manager and bid writer, confident in taking ownership of the entire bid process from start to finish. You have experience building and managing a bid library, finding suitable tenders to bid for, writing bids for the private and public sectors, designing proposals, revising statements and policies to match the criteria of every single bid and submitting bids in accordance with the tender instructions.

You also have an amazing attention to detail and manage to work on multiple bids simultaneously while meeting tight deadlines. Your knowledge of the English language is perfect, and your creative inputs help the bids stand out from the competition. You are also confident in leveraging relevant software, tender databases, procurement portals and contract management platforms effectively to prepare a compelling bid.

And above all, you are a confident, team player and friendly individual with excellent communication skills who can build effective relationships with the team and stakeholders both in person and via online meetings.

Your Skills and Experience

As a successful candidate, you are expected to demonstrate the following skills and experience:

  • Minimum of 1 - 2 years of experience writing bids for the private and public sectors.
    Previous experience in the commercial cleaning or soft facility management industry is a plus.
  • Understanding of bid writing procedure and tender processes, frameworks and procurement platforms.
  • Exceptional writing, proofreading and editing skills (Business/Corporate English).
  • Skilled in conducting deep research to develop compelling bids.
  • High level of working knowledge of Microsoft 365 (Word, Excel and PowerPoint).
    Ability to use AI tools (ChatGPT or Copilot) to improve bids or automate tasks is a plus.
  • Able to work on proposal templates.
  • Able to apply simple arithmetic formulas in Excel.
  • Basic understanding of pricing strategy in tenders.
  • Strong understanding of sustainability.
  • Work on multiple bids simultaneously.
  • Able to work independently throughout the tender procedure, from research to bid submission, with minimal input.
  • Be organised and be able to prioritise tasks to meet deadlines.
  • Being able to start immediately is a plus.

Overview of Day-to-Day Responsibilities

  • Check different tender databases and procurement portals (Central Digital Platform, Find a Tender, Contract Finder, Stotles, etc) to find private and public sector tenders that match the criteria set by the Director of Sales & Marketing. Set up alerts on different platforms to get notified of new tenders available online.
  • Register on various contract management platforms (Delta eSourcing, Litmus, Minerva, etc) to express interest in tenders and download the tender package and documents required to prepare the bid.
  • Study the information provided by the tender package and documents, and highlight the important points to discuss with the Director of Sales & Marketing before starting work on the bid.
  • Put the bid together and revise policies and statements to align with the tender's criteria.
  • Develop and manage a bid library to have quick access to all internal documents required for preparing bids.
  • Discuss the pricing strategy with the Director of Sales & Marketing and input the data on relevant documents before submitting the bid.
  • Discuss specific requirements with other departments (Sales, HR, Marketing, Operations, etc) to complete the bid.
  • Communicate with the tender authority or the managing consultants, ask potential questions and schedule site surveys (if required) to prepare a compelling bid.
  • Submit the bid on the relevant platform and complete the bidding procedure (on Central Digital Platform) before the deadline.
  • Follow up on bids, move to the next stage with successful bids and get feedback from tender authorities in case a bid is rejected.
  • Attend online or in-person meetings with the tender authorities at any stage of the process.

Our recruitment process is fairly simple. If shortlisted after the initial review:

  • 1st STAGE:
    You are invited to a 1st Stage online interview with the hiring manager.
  • 2nd STAGE:
    Shortlisted applicants will be invited to our office for a 2nd Stage face-to-face interview with the hiring manager. You may be asked to prepare an assignment and present it during this interview. We will inform you of the 2nd Stage invitation, and you'll have ample time to complete it.
  • 3rd STAGE (Not Always):
    In rare cases, if the competition for the vacancy is high, we may ask shortlisted applicants from the previous stage to attend an additional face-to-face meeting with the company's directors and HR manager for further discussion.
  • JOB OFFER:
    If you stand out from the rest of the applicants, we will extend a job offer, first via a telephone call and later by email, which will conclude the recruitment process after you accept.

Keep in mind that applicants without a permanent Right to Work in the UK will not be shortlisted, as we are unable to provide visa sponsorship now or in the future. When shortlisted, you may be asked to provide a valid Right to Work Share Code.
