Role Description

The F&B Coordinator supports the delivery of food and beverage operations across Live Nation's festivals and venues. The role provides day to day coordination, administration, and information management to ensure traders, concession partners, and internal teams have everything they need to deliver a consistent and high-quality F&B offer.

A key part of the role is managing the operational workflow behind our F&B setup — including sourcing and reviewing food vendors, administering Live Nation's trader portal, collecting menus and product data, and ensuring all details required for cashless setup, festival apps, and on-site operations are accurate and delivered on time. The role supports the planning of trader routes across the festival season as well as identifying and supporting new grass roots traders building a pipeline for developing the next generation of traders.

The F&B Coordinator works closely with the Food Experience Manager, Bar Experience Manager, Head of Commercial Experience and wider to gather, organise, and track key documents such as P&Ls, staffing plans, concepts, menu submissions, product ranges, and pricing. This role will also interface closely with Live Nation's Marketing Partnerships team to ensure that all key information and actions for Food and Beverage partner brands are delivered, this includes coordination of stock forecasts.

The role acts as a central point of contact for concession partners and internal teams ensuring information flows clearly and efficiently between commercial, customer experience, marketing, cashless, and festival teams. Although focused on food and beverage, the role may also support wider commercial categories, including retail and merchandise, when required.

This role is ideal for someone operationally strong, organised, proactive and passionate about food, drink and live events, with a desire to grow within the commercial experience space.

Competencies / Skills / Knowledge / Experience

  • Experience in event operations, hospitality, or food and beverage
  • Strong organisational skills and the ability to manage multiple deadlines.
  • Experience working with databases, portals, or EPOS systems is beneficial.
  • Confident communicator with experience working with external suppliers.
  • Strong numerical skills with the ability to analyse data accurately and confidently.
  • Proficient in Excel, including managing datasets, working with formulas and producing clear, well-structured reports.
  • A passion for food, drink and live events.

What the role includes

Vendor Sourcing, Assessment & Coordination

  • Support the sourcing and review of food vendors across venues and festivals.
  • Administer and manage Live Nation's trader portal and ensure timely onboarding.
  • Maintain up to date vendor information and ensure a diverse, relevant trader network.
  • Review and approval of food vendors to ensure in line with standards set by Food Experience Manager
  • Collaborating with Food Experience Manager in planning multi show routes for food vendors

Cashless & Digital Setup

  • Work with cashless teams to provide accurate product, menu and pricing data.
  • Support store, product and menu setup across events.
  • Ensure all F&B data is accurate and consistent across platforms.
  • Festival App & Digital Content Support
  • Coordinate with Customer Experience and Marketing teams to supply F&B content for festival apps and websites.
  • Ensure trader descriptions, imagery, dietary information and operating hours are complete and accurate.
  • Support the planning of F&B promotional content with the Concept & Creative Project Manager

Concession partner and event team coordination

  • Work with Food, Bar and Merchandise partners to gather key commercial and operational documents required by the Commercial Experience team
  • Collate P&Ls, staffing plans, menu submissions, proposals, product ranges and pricing information.
  • Maintain clear and organised partner documentation.
  • Cross Category Commercial Support on non F&B categories where required
  • On site support across festivals and events where required

F&B brand partner support

  • Maintain internal databases and ensure consistency across events.
  • Stock & Forecasting coordination, managing the flow of forecasts from event teams and/or concession partners into the brand partners
  • Work with Marketing Partnership team to ensure key deliverables for brand partners are being met
