About the Role:

The Office Manager will play a pivotal role in ensuring the smooth and efficient running of the Manchester office, while acting as a shared resource across the wider business. This role encompasses office administration, facilities management, health & safety compliance, alongside providing operational support to IT, HR, Operations, and Marketing.

The successful candidate will demonstrate excellent communication and organisational skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment - maintaining a professional, service-oriented, and customer-centric mindset.

Responsibilities:

Office & Facilities Management

· Oversee day-to-day office operations, ensuring a professional and welcoming environment.

· Manage office supplies including groceries, stationery, IT equipment, and printer resources.

· Act as primary contact for building management (MSP/Bruntwood), contractors, and service providers (cleaning, pest control, confidential waste, AV, H&S contractors).

· Support desk and IT equipment setup/takedown for new joiners and leavers.

· Act as first point of contact for all visitors and incoming calls to Phagenesis.

· Coordinate meeting rooms, visitor access and car park permits.

· Arrange office lunches, drinks, snacks, and employee celebrations.

Health & Safety

· Serve as first point of contact for all health & safety matters.

· Conduct regular Display Screen Equipment (DSE) assessments.

· Carry out and record monthly site checks.

· Act as First Aider and Fire Marshal for the Manchester office.

HR Administration Support:

· Support the HR team with compliance checks, including right-to-work verification and employee documentation.

· Coordinate onboarding activities and inductions with business area owners.

· Maintain accurate HRIS data (Personio/Justworks), processing employee changes promptly.

Marketing & Events Support:

· Work closely with the Marketing team to coordinate and deliver customer-facing events across the EU, ensuring seamless logistics and professional execution.

· Provide administrative support for event planning, travel bookings, vendor liaison, and attendee coordination.

· Assist in managing EU customer queries via the customer services inbox.

Additional Administrative Duties

· Support office events including holiday parties and employee collections.

· Assist with booking travel and accommodation for Manchester office employees.

· Provide ad hoc administrative or business support as required across departments

Essential Experience & Skills:

· Proven experience in office administration or office management.

· Strong organisational and time management skills, with the ability to prioritise effectively.

· High attention to detail and accuracy.

· Excellent communication and interpersonal skills, with the ability to build strong working relationships across all levels of the business.

· Proactive and resourceful approach to problem-solving and process improvement.

· Competent in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

· Business-level proficiency in German highly desirable.

· Health & Safety or First Aid training an advantage (or willingness to undertake training)

Desirable Experience:

· Experience within Customer Service or related administration tasks
