Role Summary
We are looking for an experienced and intelligent self-starter to support a broad range of operational functions. This high-impact role is ideal for someone with strong administrative skills, excellent communication, and a proactive mindset. You will
assume ownership of key business processes
and play a crucial role in supporting the company's continued growth and day-to-day operations.
Key Responsibilities
- Executive Support:
Provide direct support to the Company Director, managing their diary, scheduling meetings, and coordinating complex travel arrangements. - Financial Administration (Process Ownership):
Own the entire invoicing and expense management process. This includes processing invoices and managing expenses using
Xero and Dext
, maintaining accurate financial records, and assisting with monthly reconciliation. - Legal & Contractual Support:
Prepare routine Non-Disclosure Agreements (NDAs) and consultant contracts. Ensure proper documentation and secure storage of sensitive legal files. - Communications & Coordination:
Follow up with associates and consultants via email and phone. Maintain professional and timely communication with clients and partners, acting as the primary administrative point of contact. - Proposal & Tender Support:
Coordinate inputs from consultants and associates for complex tenders. Draft compelling covering letters and compile final proposal documents. Ensure timely submission and quality control of all proposal materials.
Skills & Experience
- Strong proficiency in Microsoft 365 (especially
Microsoft Outlook, Microsoft Teams, Microsoft Word and Microsoft Excel) is essential
. Proficiency in using Microsoft OneNote,
Xero, and Dext
is highly desirable. - Excellent written and verbal communication skills.
- Excellent organisational skills and attention to detail
- Proven experience in administrative, financial, or legal support roles.
- A proven ability to work independently, manage multiple tasks, and maintain absolute discretion.
- Prior experience in consulting, defence, or technical sectors is a significant advantage.
