Responsibilities Include:
Patient Appointments & Front Desk
· Book and manage appointments for GPs, Nurses and other clinicians.
· Welcome patients, check them in and support with self-check-in where needed.
· Handle face-to-face queries and direct patients appropriately.
· Keep reception and waiting areas tidy, organised and patient-ready.
Telephone & Patient Communication
· Answer calls promptly and professionally, following practice call protocols.
· Record accurate messages and pass them to clinical or admin teams.
· Manage call queues and patient follow-up requests.
· Provide results to patients in line with GP instructions and the practice policy.
Clinical System & Records Administration
· Scan, code and upload correspondence to patient records.
· Maintain accurate patient information and update details when required.
· Register new patients and process relevant documentation.
· Prepare paperwork or electronic tasks for tests, referrals and clinical requests.
· Support the repeat prescription process, ensuring requests are processed on time.
Workflow, Operations & Team Support
· Collect specimens and prepare them for hospital collection.
· Assist clinicians with administrative tasks when needed.
· Enter data accurately, supporting data quality and reporting.
· Follow GDPR, confidentiality and safeguarding requirements.
· Attend team meetings and support colleagues during busy periods.
· Undertake any other reasonable duties to support smooth running of the practice
Communication:
The post-holder should recognise the importance of effective communication within the team and will strive to:
· Communicate effectively with patients and carers.
· Communicate effectively with other team members.
· As well as the nursing team there is a need to work closely with reception, office, and dispensary staff to ensure the smooth running of the practice, reporting any problems encountered to the relevant person and ensuring that everyone is aware of the different roles within the nursing team.
· There is also the need to establish and maintain good liaison with other surgeries and agencies including secondary care.

· In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately
· In the performance of the duties outlined in this job description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential
Health & Safety
The post-holder will assist in promoting and maintaining their own and others' health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include:
· Using personal security systems within the workplace according to practice guidelines
· Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
· Making effective use of training to update knowledge and skills
· Actively reporting health and safety hazards and infection hazards immediately when recognised
· Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder's role
