Founded in 1988, Ashton House Nursery provide outdoor focused childcare for children aged between 0 and 5 years, as well as out-of-school clubs. Ashton House Nursery run forest school sessions in on-site woodlands at both Ashton Hayes and Frodsham sites where unrivalled, substantial natural space encourages children to explore nature and take risks in a safe environment, to further develop their resilience, self-belief and character. Ashton House Nursery are looking for an administrator to join their expanding office team, based in Frodsham. This is a full time position, working 37.5 hours over 5 days.
What does joining us as an Office Administrator look like?
Key duties and responsibilities include, but are not limited to:
1. Office & Administration
- Handle telephone, email, and in-person enquiries.
- Maintain organised filing systems.
- Prepare letters, forms, and nursery communications.
- Ensure confidentiality and compliance with data protection regulations.
- Update nursery management software with additional sessions, booking changes etc.
- Respond to enrolment enquiries, update waiting lists, and schedule nursery visits.
- Process registration forms, collect required documentation, and maintain accurate child records.
2. Financial & Billing
- Apply refunds, discounts, and adjustments to invoices accurately in line with nursery policies.
3. Funding Administration & Government Schemes
- Assist with all aspects of government-funded childcare places, including 9 month, 2-year-old, 3–4-year-old, and extended entitlement funding.
- Check parent eligibility codes, complete necessary verification checks, and ensure timely re-validation.
- Communicate with parents about funding options, eligibility criteria, and changes to entitlements.
- Maintain detailed records and ensure compliance with funding regulations and audit requirements.
4. Compliance, Policies & Reporting
- Maintain staff training records, DBS checks, and required certifications.
- Ensure dietary requirements are up to date and communicate with the kitchen and wider team to ensure compliance with our health and safety policies and procedures.
5. Staff Support & HR Administration
- Assist with recruitment tasks: advertising roles, scheduling interviews, collecting references.
- Coordinate inductions for new staff members.
- Track staff holidays, sickness, and training logs.
6. Resource & Supply Management
- Order and monitor supplies including stationery, cleaning materials, First Aid supplies and uniform.
- Manage inventory and liaise with suppliers for repairs and maintenance services.
- Ensure communal areas (office, reception) are organised and welcoming.
7. IT & Systems Management
- Troubleshoot simple IT issues and liaise with support providers when necessary.
- Update nursery management software and ensure accurate data input.
- Manage and monitor facial recognition systems for secure access, ensuring compliance with privacy laws and GDPR.
What skills and qualities are we looking for?
- A degree in administration, finance or related field is desirable
- Proficiency in MS office
- Strong written and verbal communication skills and excellent at engaging with customers and colleagues.
