Position Overview:
The Project Coordinator will play a critical role in supporting the successful planning, execution, and delivery of EPCI projects. This individual will work closely with project managers, engineers, procurement, fabrication teams, and external stakeholders to ensure projects are completed on time, within scope, and within budget. The Project Coordinator will be responsible for managing project documentation, tracking progress, facilitating communication between teams, assisting in problem-solving, assisting procurement with supplier order process and personnel logistics.
This role is ideal for a detail-oriented professional with strong organisational and communication skills, looking to develop a career in project planning, engineer or management within the energy sector.
Project Coordination & Planning:
- Assist in the development of coordinating & planning projects, execution, and budgets in collaboration with project managers and project engineers.
- Monitor project timelines, deliverables, and milestones to ensure successful project execution.
- Support the coordination of project meetings, including scheduling, preparing agendas, and taking minutes.
Documentation & Reporting:
- Maintain and organise all project documentation and administration, document control (DCC), including contracts, reports, technical drawings, and compliance records,
- Track project progress and generate status reports for internal and external stakeholders.
- Assist in preparing presentations, proposals, and project summaries for senior management and clients.
Procurement & Logistics Support:
- Assist procurement teams with tracking purchase orders, delivery schedules, and supplier performance.
- Ensure timely availability of materials and equipment needed for project execution.
- Work with logistics teams to coordinate shipments, transportation, and site deliveries.
HR Logistics Support:
- Assist the project team with sourcing and onboarding of personnel.
- Ensure timely availability of securing personnel needed for project execution.
- Work with project teams to coordinate personnel to site.
Communication & Support:
- Act as a central point of contact for project teams, ensuring clear and effective communication between departments.
- Liaise with subcontractors, suppliers, and vendors to ensure timely delivery of materials and services.
- Respond to inquiries from internal teams and external stakeholders, providing project updates and addressing concerns.
Risk Management and Problem Solving:
- Identify potential project risks and assist in developing mitigation strategies.
- Track and manage project change requests, ensuring they are documented and approved appropriately.
- Assist in troubleshooting project issues and coordinating resolution efforts with relevant teams.
Quality & Compliance:
- Ensure project activities comply with company policies, safety regulations, and industry standards.
- Assist in conducting quality checks and audits to verify compliance with contractual and regulatory requirements.
- Support environmental and safety initiatives within the project scope.
Qualifications / Requirements / Experience:
Experience:
- 3-5 years of experience in project coordination/admin, preferably within the EPCI, energy, construction, or infrastructure sectors.
- Experience working with multi-disciplinary teams in complex project environments.
- Familiarity with energy infrastructure projects, oil and gas, any offshore wind, or renewable energy is a plus.
- A degree in business management or business administration would be preferable but not mandatory
Technical Skills:
- Proficiency in day-to-day software (e.g., all Microsoft office applications, Microsoft Planning or similar tools).
- Understanding of project life-cycle stages, providing coordination and administrative support throughout.
- Experience with document control systems, ERP software, and procurement platforms.
- Experience in purchase order support and logistics
- Experience in Personnel Logistics, onboarding and managing personnel and certification
- Proactive and self-motivated with a strong work ethic.
- High attention to detail and commitment to accuracy.
Soft Skills:
- Strong organisational and time-management skills, with the ability to prioritise tasks effectively.
- Excellent communication and interpersonal skills, with the ability to collaborate across teams and stakeholders.
