Soft FM Co‑ordinator – Equans UK & Ireland Equans is looking for a Soft FM Co‑ordinator to join our team working on the Moderna FM contract on the Harwell campus in Oxford on a permanent basis. This is a full‑time role (40 hours per week) from 08:00 to 17:00, Monday to Friday, with a one hour unpaid lunch break. The role offers a competitive salary and benefits package. Key Responsibilities Co‑ordinate all Soft FM activities to meet client expectations and contractual requirements. Ensure compliance with company and statutory regulations relating to safe systems of work, health & safety, hygiene, cleanliness, fire and COSHH. Liaise with the supply chain for all service functions, driving performance and reporting results and deviations. Oversee day‑to‑day operation of site soft services in Catering, Cleaning, Waste, Procurement & Housekeeping. Supervise the Catering and Janitorial teams. Develop and implement a soft services improvement plan for each service. Prepare monthly report matrices and presentations. Log and prepare all quoted/follow‑on works ahead of site attendance, uploading documentation to customer systems and the Equans Customer Portal. Monitor supplier costs to maintain financial controls. Ensure SLA requirements are met and reported. Deliver consistent and improved quality of soft services. Qualifications & Experience Holder of a suitable catering qualification (desirable). Previous experience in a Soft FM setting (essential). Proficiency in Microsoft applications (Excel, PowerPoint). Knowledge of GMP cleaning standards (desirable). Exposure to performance indicators and service level agreements. Experience with CAFM systems (SAP, ELogs, Proactis, Service Channel, Coupa, Planon) advantageous but not essential. Health & safety awareness and IOSH certification. Good administrative skills. Understanding of the purchase‑to‑pay process (desirable). Knowledge of HACCP (desirable). Analytical skills to spot trends and prepare reports. Strong relationship‑building skills to manage customer expectations.
