The Estates Management Assistant will play a key role in supporting the effective running and maintenance of our managed estates.Role SummaryThe Estates Management Assistant will support the Estates Manager in ensuring the smooth operation, upkeep and administration of the estate’s portfolio. This includes coordinating maintenance works, liaising with contractors and residents, keeping accurate records and helping deliver an exceptional level of service to clients.Key ResponsibilitiesAdministrative & Coordination DutiesAssist in the day-to-day management of residential and/or commercial estates.Maintain accurate property files, compliance documentation and maintenance logs.Prepare reports, correspondence and updates for clients, residents and stakeholders.Coordinate, schedule and follow up on planned and reactive maintenance works.Manage incoming enquiries and provide timely responses or elevate as required.Property & Contractor ManagementConduct routine estate inspections and report issues or maintenance needs.Liaise with contractors, suppliers and service providers to arrange works and obtain quotes.Monitor contractor performance and ensure work is completed to required standards.Support health & safety compliance by maintaining records and assisting with risk assessments.Financial & Compliance SupportAssist with service charge administration, budget preparation and invoice processing.Track expenditure against budgets and highlight variances.Ensure statutory compliance checks (e.g. fire safety, gas, electrical) are completed and logged.Resident & Client RelationsAct as a professional point of contact for residents, tenants and property owners.Support the Estates Manager during client meetings and prepare relevant documentation.Help facilitate smooth communication between stakeholders regarding estate matters.Skills & QualificationsStrong organisational and multitasking skills.Proficiency in Microsoft Office.Ability to work independently and as part of a team.Attention to detail and a proactive approach to problem solving.Full Uk Driving Liscence.Experience in property management, facilities management, administration, or a related field.Knowledge of health & safety requirements and property compliance standards.Creative abilities, such as utilisation of Canva and Powerpoint.Personal AttributesProfessional, polite and confident when dealing with clients and residents.Reliable, punctual and committed to high standards of service.Comfortable managing varied workloads in a fast-paced environment.Willingness to learn and develop within the role.Competitive salary based on experience.Opportunities for training and professional development.Supportive team environment with room for career progression.How to ApplyPlease send your CV and a brief cover letter to estates@weldenedwards.co.uk with the subject line “Estates Management Assistant Application - Welden & Edwards”.Seniority LevelEntry levelEmployment typeFull-timeJob functionAdministrative #J-18808-Ljbffr
