Administrator (Maternity Cover) – Barnet United SynagogueTemporary maternity cover position – Effective 19th December 2025. Location: Barnet. Hours: 22 hours per week (including Friday mornings). Fixed‑term: 1 year.DUTIES & RESPONSIBILITIES1. CommunicationsCoordinate information flow between staff, lay‑leaders and volunteers regarding events, rotas and resources.Maintain a shared digital calendar for all community events and use of the premises.Notify staff, volunteers and relevant members of bereavements. Send letters of condolence, Mazal Tov and birthday cards when appropriate.Compile and distribute the weekly newsletter.2. MembershipHelp administer new member applications and provide information to new members when required.Maintain the membership database, collecting updated member contact details when required.3. Life Cycle EventsManage the Certificate of Religious Practice (CRP) for children applying to school.Check appropriate call‑up dates for various occasions, liaising with the Rabbi and wardens where required.Arrange resources for a bereavement, e.g. distribution of prayer books and chairs.Create and distribute monthly Yahrzeit letters.Assist engaged couples in the United Synagogue marriage process.Liaise with the Community Care Team for members in need of support.4. Building Management – Events, Kiddushim and Religious ServicesWhen the Finance and Membership Administrator is absent, ensure the building is kept clean and maintained by the caretaker/cleaner.Be responsible for aspects of health and safety and become familiar with United Synagogue health and safety procedures.Assist with the building’s compliance regarding the Health and Safety Standards.Support the organisation of religious services, kiddushim, events and other activities in the Shul (including publicity, booking/ticketing, attendance lists, cleaning/caretaking, catering, volunteer rotas, clearing up, security etc.).Arrange publicity, online bookings/ticketing, security and cleaning/caretaking for events as required, including reminders to the Rabbi and lay leadership.Ensure the US Insurance Events form is filled out.Keep comprehensive records of events organised by the Shul to include budget details, attendance, food orders, security etc. Deal with any emergencies in the synagogue, reporting incidents/injuries to the US Centre and in the official recordbook.Support volunteers from the community for roles such as helping prepare Kiddush.5. External Hall HireProcess required paperwork for external hire of the premises and liaise with the client where necessary.Consult with the security officer regarding any security aspects of events and their respective publicity.Coordinate with the caretakers regarding use of the premises for events and catering.Ensure Kashrut levels are adhered to in liaison with the Rabbi.Become familiar with any health and safety issues and ensure all events are run to the highest standard of health and safety practices.6. FinancesProvide finance support to cover the Finance and Membership Administrator when required.GENERIC DUTIESCommitted to the aims of the United Synagogue and act as an ambassador for the organisation.Comply with the United Synagogue’s policy and procedures and code of expectations.Bring to the attention of senior staff any health and safety requirements that become obvious. In the event of any immediate danger, take the appropriate action to reduce risk to physical danger for employees, members, contractors, volunteers, children, parents, visitors or staff.Work collaboratively with colleagues across the organisation to ensure the United Synagogue can achieve its vision, mission and strategy.Undertake appropriate training to enhance own skills as requested by the line manager in conjunction with the Human Resources Department and be committed to own continuous professional development.Carry out any other reasonable duties as requested by the Chief Executive or other designated senior staff or undertake such duties that occasionally fall within the purpose of the post.Maintain high levels of discretion and confidentiality at all times.PERSON SPECIFICATIONAbilitiesStrong attention to detail to ensure work is carried out to the quality expected.Managing and prioritising a varied workload to designated deadlines and objectives.Work in a professional manner, developing effective working relationships with staff, lay‑leaders, community members, volunteers and suppliers while preserving confidentiality.Deliver a consistently high‑quality customer‑focused service with patience, politeness and discretion.Work as an effective and proactive member of the Synagogue team.SkillsFully computer literate with substantial experience of using Microsoft Office.Excellent verbal and written communication – express ideas effectively.Good interpersonal skills, being supportive, empathetic, patient and respectful in the way you work with all colleagues.Time management and planning.KnowledgeConsiderable knowledge of Jewish customs and practices is preferable.Commitment to the values, aims and objectives of the United Synagogue.This job description and person specification is not prescriptive as it merely outlines the key tasks and responsibilities of the post, which are subject to alteration in response to the changes in legislation or the United Synagogue’s operational procedures.
