Location: East Grinstead (mix of home and office working) Job type: Part-time (28 hours a week) Reporting to: Certificated Locations Manager About the job: To provide administrative service and support to the CL network and team. Responsibilities Work with Field volunteers, Consultants, CL owners, Local Authorities and Members to provide a well administered CL network in accordance with Club policies and statutory requirements. Assist the CL team with progressing applications for CL Certificates/new sites. Progress applications to certificate/open CLs in accordance with current procedures. Prepare relevant paperwork dependent on approval or refusal. Track the progress of all applications and follow up to assist the conversion of applications to new sites. Open new sites/issue CL certificates ensuring marketing data is correct and the necessary H&S documentation and membership is in place, liaising with the Publishing and Insurance teams as required. Provide support and information to new owners. Support the administration of: change of certificate holders the reinstatement of closed sites the relocation of sites closing sites Monitor existing CLs and ensure they all have at least one annual visit; process CL Adviser annual visit reports, deciding on appropriate action and following up accordingly, liaising with both CL owners and field volunteers. Assist in collecting relevant H&S paperwork to ensure sites are compliant. Provide phone and email assistance to CL owners, giving support and operational information, updating marketing data on Episerver and assisting with all enquiries. Maintain up-to-date CL files (online) and data in Episerver product database. Maintain owner records on Nexus. Respond to Members’ enquiries about CLs. Investigate and log feedback/complaints received by telephone/email/letter from Members, CL owners, neighbours and Local Authorities. Liaise with the team and follow up appropriately. Provide administrative support when required, to the Certificated Locations Manager and the CL team. Essential Skills & Experience Required Good knowledge of computer systems. Proactive and organised with a friendly but business‑like manner. Strong communicator with an outgoing and persuasive personality. Strong interpersonal skills with the ability to influence others. Experience of delivering excellent customer service and complaints handling.
