FM Co-ordinator Arcadis | Warrington, England, United Kingdom Role description We are seeking an experienced FM Coordinator to manage and coordinate facilities management activities across multiple school sites. This role is critical in ensuring the smooth delivery of Planned Preventative Maintenance (PPM) and reactive maintenance services for statutory and building maintenance systems. You will act as a key point of contact for surveyors, engineers, contractors, and clients, ensuring compliance with SLAs, health and safety standards, and operational efficiency. Role accountabilities Scheduling & Coordination Plan and schedule PPM works and reactive maintenance tasks. Place orders with contractors for the delivery of compliance and maintenance services. Coordinate and monitor contractor delivery schedules works. Operational Management Coordinate FM helpdesk functions and integrate FM processes within corporate systems. Monitor incoming workload and allocate tasks to in-house teams or contractors. Ensure CAFM systems (e.g., Digitize FM) are updated with job statuses and completion reports. Compliance & Reporting Maintain compliance with industry standards (e.g., SFG20) and health & safety regulations. Prepare and maintain accurate documentation, including job sheets, quotes, invoices, certificates, and warranties. Track SLAs and KPIs, reporting progress to senior management. Customer Service Act as a primary point of contact for client inquiries and updates. Resolve client issues promptly and professionally to maintain satisfaction. Qualifications & Experience Proven experience in service coordination, scheduling, or facilities management. Background in FM/PPM scheduling. Proficient in Microsoft Office Suite (Excel, Word, Outlook) and CAFM systems. Strong organisational skills with the ability to manage multiple priorities. Excellent communication skills and attention to detail. Familiarity with compliance standards and SLAs in maintenance services. Desirable Experience managing reactive maintenance and emergency call-outs. Previous experience in a coordination role within the maintenance and facilities management.
