Trainee Dispensary Assistant/Receptionist NHS West Midlands, England, United Kingdom Job Summary We are looking for a motivated and enthusiastic individual to join our friendly practice team. This is an excellent opportunity for someone keen to develop a career in primary care, training within both our dispensary and reception teams. Hours: 31.5 hours per week (Mon – Fri) Salary: Band 2 Agenda for Change – £12.51 per hour Location: Much Wenlock Medical Practice, King Street, Much Wenlock, Shropshire, TF13 6BL Job Responsibilities Dispensary Complete dispensary qualification within the specified timescale, engaging with supervisors, trainers and practice supervisors. Accurately dispense and check medicines for our patient population. Collect prescription charges in line with protocol. Maintain stock levels and support reordering processes. Receive and store supplies, ensuring correct handling and cold‑chain compliance. Dispense controlled drugs in accordance with practice policy. Dispose of returned and out‑of‑date medication safely. Process repeat prescriptions within the timeframe target. Provide clear, helpful advice to patients about their prescriptions. Manage prescription requests via online systems and face‑to‑face. Support monthly dispensary returns. Maintain accurate records and follow all Standard Operating Procedures. Assist in keeping a clean, safe and organised dispensary environment. Provide cover for colleagues during annual or sick leave. Assist with stock checks and dispensary audits. Support the preparation for dispensing tasks and attend health and safety briefings. Reception Greet patients and visitors in a courteous and professional manner. Deal with enquiries by phone, electronic communication or in person. Book, amend and cancel patient appointments, ensuring the computerised system is up to date. Register new patients and ensure relevant checks are made. Process repeat prescription requests within a timely manner. Record drug deliveries on Emis Web. Access and save out‑of‑hours reports to patient records. Upload documents received via electronic download to Docman. Respond to incoming practice emails and electronic consultations within the required timescale. Distribute post and manage email correspondence in line with GDPR protocols. Scan patient information and workflow through Docman. Respond to staff, management, nurse and GP requests/tasks during surgery. Maintain up to date filing systems, both computerised and manual. Prepare consultation rooms for the day and ensure they are tidy at close. Support general housekeeping, including drinks preparation and dishwasher operation. Open and lock up surgery according to protocol between 0800 and 1830. Work safely in accordance with legislative requirements and practice policy and procedures. Any reasonable duties that may be requested and deemed suitable by the management/partners may also be undertaken. Person Specification Experience (Essential) Practical experience of working with others. Experience of using own initiative and multi‑tasking. Experience of excellent customer service. Practical experience of computerised recording systems. Experience (Desirable) Experience within a general practice reception environment. Qualifications (Essential) Good standard of general education. GCSE Mathematics. GCSE English. Qualifications (Desirable) Appropriate qualification in medical reception (e.g., AMSPAR or NVQ in Customer Service). Skills (Essential) Excellent communication skills (written and oral). IT skills. Time management and ability to meet deadlines. Negotiation and conflict management. Problem solving skills. Interpersonal skills. Behaviours (Essential) Planning and organising. Performing under pressure / ability to remain calm, controlled and professional. Adaptability. Ability to work effectively as a team member. Self‑motivated/resourceful. Flexibility – available to work flexible hours demanded by the job. Confidentiality, integrity and honesty. Knowledge (Desirable) Understanding of a general practice reception environment. Knowledge of EMIS Web and Docman systems.
