Volunteer Charity Office Manager Join to apply for the Volunteer Charity Office Manager role at The Women & Families Resource Centre. We are looking for a volunteer office manager to organise, manage and coordinate a team of volunteers to effectively carry out all administrative duties and office procedures in the charity. Our charity is very much volunteer and community led. This role is crucial in improving our efficiency and effectiveness thereby, enabling us to meet our aims and objectives of providing a high quality service to the women and families we support. What we are looking for Proven experience of general administrative work, including excellent IT skills (using Windows, Word, Excel, Outlook, PowerPoint & Access). Proven experience of team management. Ideally, some experience of working in the charity sector. Ideally some experience of financial administration including being responsible for record keeping and petty cash. Excellent written and verbal communication skills. Excellent attention to detail. Leadership and the ability to ‘make things happen’. Good time management skills and the ability to work pro-actively, meet tight deadlines and deliver within budget. Problem solving skills, initiative, budgeting skills, attention to detail. Ability to communicate with a variety of people in a friendly, professional and confident manner. What will you be doing The Office Manager will lead, oversee and direct all volunteers responsible for the charity’s administrative services. The goal is to ensure that all of the charity’s projects and activities are carried on efficiently and effectively. Your role will be to supervise the daily operations of our charity, plan the most efficient administrative procedures whilst ensuring high levels of organisational effectiveness, communication and safety. You will be experienced with a variety of office software (such as email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Main Duties: Collaborate with the management team and project coordinators to identify the required administrative support operations for the organization. Provide effective leadership for the volunteer admin team in order to provide all administrative support duties designated to the team. Develop, evaluate and coordinate the smooth running of the information systems. Improve all communication systems. Maintain the organization’s administrative policies and procedures manual. Collaborate with management to draft and implement an annual administrative budget. Ensure the smooth and adequate flow of information within the charity to facilitate all charity operations. Monitor the inventory of office supplies and the purchasing of new material with attention to budgetary constraints. Oversee facilities services, maintenance activities and any tradespersons. Volunteer Management: Oversee recruitment, induction and training of all new administrative volunteers. Supervise, performance manage, appraise and support the professional development of admin volunteers. Communicate regularly with volunteers via phone, emails, and other means of communication. Manage and authorise admin volunteer expenses. Recognise and appreciate administrative volunteers’ efforts.
