Facilities Coordinator Location: Merseyside, England, United Kingdom (Speke, Liverpool) – Apprenticeship contract on the Knowsley Schools contract.Employment: Full‑time, permanent, 37.5 hours per week.Salary: £28,000 – £32,000 per annum (plus competitive benefits package). Key Responsibilities Provide comprehensive support to the Technical Manager and Contract Management team, handling all contractual procedures and essential administrative tasks. Ensure strict compliance with organisational standards across Planned Maintenance, Health & Safety, Service Delivery, Quality, Finance, Purchasing, and HR. Maintain accurate and compliant maintenance records for statutory and implied statutory activities with the Technical Services Manager and Facilities Managers. Collect, file and archive completed Planned Maintenance worksheets, chasing subcontractors for reports to confirm timely completion. Manage the Statutory Compliance and Corrective Works tracker to guarantee accurate data. Run and issue PPMs monthly, assigning tasks to the correct resources. Coordinate subcontractors to book maintenance at all schools, ensuring attendance agreements to avoid operational impact. Produce routine reports, presentations and statistical data for the management team to support effective contract management. Maintain training matrices/records and support the team with training delivery. Update internal portals for purchasing cards, holidays, sickness and other HR functions. Maintain supplier matrices and associated documentation. Update and maintain the DBS tracker. On an ad‑hoc basis, create or update Work Orders and Purchase Orders in Maximo. Assist with secretarial support, minute‑taking and confidential document handling. Understand and meet customer requirements, delivering consistently high service levels and using feedback for improvement. Provide administrative cover to other parts of the service during holiday or absences. Undertake training where necessary to maintain and develop service requirements. Carry out any other duties required to facilitate efficient contract operation. What We Offer Competitive salary within £28,000 – £32,000 per annum. 24 days annual leave plus public holidays. Sound knowledge of Statutory Compliance, H&S, Environment and QA procedures. Experience in a multi‑site PFI Facilities Maintenance environment is desirable. Operational experience with a CAFM system (preferably Maximo). IT literate with excellent knowledge of Microsoft Office 365 and information management systems. Excellent written and verbal communication skills. Ability to work effectively as part of a team while also taking initiative. Experience in a customer‑service environment. Strong organisational skills, prioritising demanding workloads and meeting deadlines. Enhanced DBS with Barred Lists check – passing this check is essential.
