Team Assistant

We are seeking an experienced Team Assistant to join our Marine, Energy, and Technical Lines (METL) team at Guy Carpenter and help keep a busy day‑to‑day running smoothly. This role is based in London and is hybrid, requiring you to spend at least three days per week in the office. What can you expect? Provide ongoing administrative and business support for approximately 40 METL colleagues in the London flagship office. Your main duties will include booking travel (flights, hotels, etc.), managing visitors, arranging itineraries, handling expenses, and booking meeting rooms. We will rely on you to: Deliver an effective and responsive administrative service to the METL team. Maintain and manage a busy diary, organising internal and external appointments while balancing priorities, global time zones and focus time. Prioritise executive calendars and determine the importance of tasks, meetings and assignments. Monitor inboxes, respond to emails where appropriate, and flag messages for later discussion. Coordinate and arrange business trips, including itineraries, flights and accommodation. Engage with internal and external colleagues and clients across the UK and internationally. Reconcile expense claims and credit‑card statements. Act as a gate‑keeper to ensure non‑essential tasks receive low priority. Plan client meetings and events, and coordinate with event planners. Undertake ad‑hoc projects as required. What you need to have: Experience in a similar Team Assistant role, demonstrating multitasking, organisation and prioritisation skills. Strong planning and organisational abilities for yourself and others. Ability to meet tight deadlines. Excellent written and verbal communication skills. Attention to detail. Approachable and sociable personality. Sound IT knowledge, particularly MS Outlook, Teams and Zoom. Ability to develop and maintain relationships. Professional handling of confidential information.
