An exciting opportunity has arisen to join our dedicated team of secretaries at Sheffield Children's as a Secretarial Assistant within the Surgery & Critical Care Group. You will provide vital support to a variety of departments, including ENT/Plastics, Neurosurgery, Ophthalmology, Trauma and Orthopaedics, and the Paediatric Surgical Unit. This is a great role for someone who is conscientious, enjoys working as part of a team and can manage a busy workload while maintaining standards of accuracy and attention to detail.

Main duties of the job

Reporting into the Secretarial Team Leader, your responsibilities will include:

  1. Provide high quality clinical typing and administrative services to clinical teams and their secretaries.
  2. Produce dictated correspondence using audio and digital transcribers.
  3. Support the smooth running of the office, ensuring tasks are completed promptly.
  4. Manage a busy workload, adapting and responding to changing priorities.

Person specificationQualifications & Training
  • Educated to GSCE standard including C grade in English or equivalent
  • RSA 11 typing or equivalent qualification or equivalent experience
  • NVQ 2 in Business administration or equivalent
  • RSA III or equivalent qualification or equivalent experience
Experience
  • Experience of audio-typing in a secretarial role
  • Experience of working with different computer software e.g. email, internet etc.
  • Experience of working in a customer-focused environment
  • Experience of working with confidential material
  • Previous medical secretarial experience
  • Experience with NHS software systems
Knowledge & Skills
  • Good time management skills with the ability to prioritise work according to deadlines
  • Able to work as part of a team and under own initiative
  • Good verbal and written communication skills with team / clients/ relatives using tact when required
  • High standard of accuracy
  • Ability to establish and maintain effective working relationships
  • Ability to deal with conflict
  • Knowledge of medical terminology
