Medical Rota Coordinator Your Office Toronto Job Summary The Medical Rota Coordinator manages Women's & Children (W&C) medical rotas, ensuring appropriate staffing levels each day through coordination of practice, induction, and locum bookings for junior doctors. Main Duties Maintain compliance, monitor hours, and coordinate induction and locum bookings across the division. Advise Service Manager and Lead Clinicians on rota issues and absence recording, following relevant policies such as the Special Leave Policy. Develop systems to record sickness, annual leave, and study leave before e‑rostering implementation. Manage W&C Consultants, middle grade, and junior doctors’ rota schedules. Lead filling of vacant shifts, creating a weekly contingency plan. Ensure efficient organisation of rosters, coordinating doctors’ leave to support service delivery. Support Clinical Directors, Lead Clinicians, and SPRs to secure appropriate medical cover. Allocate junior doctors to four, six, and twelve‑month rota patterns. Act as main contact for securing locum cover for Consultants, junior doctors, and middle‑grade staff. Record and report Consultants, Middle Grade, & Junior Doctor annual leave, study leave, and sick leave. About Us Our people are our greatest asset. Coordinate with colleagues and stakeholders to achieve appropriate coverage. Book locum staff as directed to uphold rota compliance and align with divisional guidance. Distribute rota information across division to ensure all areas are aware of coverage arrangements. Person Specification Essential Education: NVQ5/Degree or equivalent through study or experience. Experience in a clinical administration role, understanding NHS systems and busy clinical settings. Prior role with similar responsibilities. Knowledge of NHS policies and procedures. Good knowledge of corporate and information governance. Understanding of data protection and contractual differences for medical/dental staff. Proficiency in managing medical rotas and awareness of junior doctor rotations. Desirable Proficiency with spreadsheets, databases, BSMS system, e‑rostering.
