Job Summary The Clinical Governance Administrator plays a vital role supporting the Clinical Governance Team to ensure the delivery of safe, effective, and high-quality patient care. This role involves providing comprehensive administrative support to facilitate clinical governance processes, which underpin the Trust's commitment to continuous improvement, patient safety, and regulatory compliance. Main Duties Administrative Support: Provide efficient support to the Clinical Governance Team, including managing meetings, minutes, and documentation. Incident & Complaint Handling: Maintain and report on incident data, ensuring timely escalation and resolution. Data Management: Produce regular reports, maintain accurate databases, and support quality assurance processes. Communication: Act as a liaison for governance-related queries, offering guidance and promoting best practices. Autonomy: Work independently within established procedures, using judgment to elevate issues when needed. Organisational Impact: Contribute to patient safety, regulatory compliance, and continuous improvement across the Trust. Working Hours Hours of Work: Negotiable to suit individual circumstances and service needs. Flexible Options: Condensed hours are available, allowing hours to be worked over fewer days. Hybrid Working: Depending on service requirements, remote working may be considered for part of the week. About Us We provide hospital services from two acute sites - Darlington Memorial Hospital and University Hospital of North Durham. We have a centre for planned care in Bishop Auckland and provide care from community hospitals Chester-le-Street, Shotley Bridge, Barnard Castle, Sedgefield and Weardale as well as over 80 other community based settings and providing care in patients' homes. Job Responsibilities Provide high‑quality, integrated administrative services to the Clinical Governance Team. React to and implement changes as directed by the line manager. Support wards & departments in identifying learning from incident and complaint data. Maintain and update incident databases, ensuring data validity. Produce weekly and monthly trend reports independently. Attend incident and complaint‑related meetings. Take minutes, produce action logs, and prepare meeting papers. Provide verbal and written guidance to staff on incident reporting procedures. Resolve data quality issues and elevate concerns when necessary. Assist in preparing reports for quality and board assurance processes. Contribute to the Trust's evidence of safe, effective, and patient‑centred care. Person Specification Experience Previous experience in an administrative role within a healthcare or governance setting. Experience of working with incident reporting systems. Experience in minute‑taking and preparing meeting documentation. Able to travel to meet the requirements of the role. Qualifications NVQ3 or equivalent demonstrable experience. GCSEs (or equivalent). Working knowledge of clinical governance & quality issues in health care. Special Skills & Knowledge Strong IT skills, including proficiency in Microsoft Office (Word, Excel, Outlook). Excellent written and verbal communication. Ability to manage and prioritise workloads independently. Attention to detail and accuracy in data handling.
