Nishkam Apprenticeships - Engagement and Administration OfficerBirmingham, United Kingdom | Posted on 08/07/2025This role is crucial to ensur e a high level of engagement with employers , learners and administration to successfully grow our apprenticeship pr ogrammes . We are therefore seeking a dedicated Engagement and Administration O fficer to join our A pprenticeship s team. The focus of our provision is values led, high quality and higher - level apprenticeships.The successful candidate will support Employer and A pprentice e ngagement, learner compliance, communicate effectively with learners, employers and tutors, and maintain / update the Learner and Delivery Platform ( Aptem ) system .Engagement and Communication:Coordinate and support employer and learner recruitment and ongoing engagement activityServe as the primary point of contact for learners, employers, and tutorsSchedule and coordinate progress reviews and meetingsProvide timely and effective communication regarding programme updates and requirementsProvide high quality of care and support to contribute to the retention of LearnersFunding Compliance:Support Learner and Employer onboarding processesEnsure all learner records are accurate and up to dateRegular reporting on learner progress and compliance with programme requirements.Assist in the preparation and submission of Individualised Learner Records (ILR)Support the Programme Director with Quality Assuran ceSupport preparation and completion of internal/external auditsAptem System Management:Maintain and update learner information in the Aptem systemEnsure data integrity and accuracy within the systemGenerate reports and provide insights on learner progress and complianceAdministrative Support:Assist and coordinate the onboarding process for new learners .Prepare and distribute programme materials and documentation.Support the Apprenticeship Programme Manager with administrative tasks as neededConduct compliance checks to ensure adherence to internal processes and funding rulesLiaise with the NCA Events Team to ensure smooth and effective delivery of engagement and delivery activitie sRequirementsPerson Specification:Qualifications and SkillsEducationMinimum A - Level s or equivalent requiredAdditional qualifications in administration or a related field are a plusExperienceMinimum of 3 years in a customer facing role with administrative experience preferably within an educational or training environment - desirableFamiliarity with apprenticeship programmes and compliance requirements is desirableExperience working in a regulated sector is essentialSkillsStrong communication and interpersonal skills - essentialExcellent organisational and time-management skills - essentialExperience with Aptem or similar learner management systems is highly desirableAttention to detail and accuracy in data management - essentialPersonal Attributes:Proactive and able to work independentlyHigh level of demonstratable reliability and consistencyHave a diligent and steadfast approach to tackling challenging conversations whilst applying an empathetic approachAdaptable and able to manage multiple tasks simultaneously.Committed to providing high-quality support and serviceSynergy and commitment to Nishkam ValuesConfidentialityis essential within this roleIt is best practice and necessary for compliance with Data Protection legislation.
