Go back Cwm Taf Morgannwg University Health Board Administration Assistant The closing date is 07 December 2025 The post holder will play a key role in supporting the operational team to effectively manage general dental and optometry services within the Cwm Taf Morgannwg University Health Board (CTMUHB) footprint. The role will play a key function in managing a central waiting list for general dental services ensuring that a regularly validated list is maintained. The role will also involve the provision of Personal Secretary support to the Directorate Manager and Dental Director within the service. The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply. Main duties of the job Provide a comprehensive, high-quality secretarial and administrative service within the Primary Care Dental and Optometry team. Be key in supporting operational activity such as waiting list management for General Dental Services, including regular validation to ensure information held is up-to-date and accurate as well as regular contact with patients and contractors. Work closely with senior leaders to provide Personal Secretary support such as diary management, arranging and minuting meetings and managing follow-up actions. Work independently and have the knowledge and experience to respond to the changing needs of the service and will be expected to problem solve in areas of work, supporting with the development of effective processes. Welsh Skills Desirable: This post is advertised as Welsh Desirable. This doesnt mean essential; whilst the candidate doesn't need to have skills in Welsh, we'll consider it an advantage when short-listing and selecting candidates. This isnt fluency, just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health. Person Specification Qualifications Vocational Level 3 in Business Administration or possess knowledge, skills and experience to its equivalency. ECDL or equivalent. Understanding and awareness of confidentiality. Knowledge of Dental & Optometry contracts. Knowledge of contractor and commissioner relationship. RSA/OCR Level II typing or equivalent relevant experience. Skills and Attributes Ability to transfer IT skills to new applications. Good interpersonal skills. Ability to work in a challenging environment. Good communication and listening skills. Good organisational skills and ability to manage conflicting priorities. Ability to use own initiative to overcome challenges. Flexible in approach to work and duties to meet the needs of the service. Welsh language speaking/listening skills at Level 3 or above Experience Previous experience in an office based, administrative role. Experience of working within a patient/customer focused environment. Experience of working within a team. Experience of using databases and Microsoft Office software packages such as Word, Excel and PowerPoint. Previous NHS experience. Experience of establishing new systems of work.
