Director / owner at Swan Civil Engineering Overview The Project Administrator supports the successful delivery of drainage and civil infrastructure projects by coordinating documentation, assisting with project planning, and ensuring smooth communication between field teams, clients, suppliers, and project managers. This role is essential to maintaining compliance, accuracy, and efficiency across all stages of drainage works—including surveys, maintenance, repair, installation, and inspection. Key Responsibilities Assist Project Managers with planning, scheduling, and tracking drainage projects (e.g., pipe installation, stormwater upgrades, CCTV inspections, jetting/cleaning, relining works). Prepare and maintain project documentation such as schedules, method statements, risk assessments, permits, and quality records. Coordinate internal teams and subcontractors to ensure timely delivery of materials, equipment, and labour. Monitor project progress, update trackers, and flag delays or issues early. Skills & Qualifications Experience in an administrative, project support, or coordination role (preferably in construction, utilities, engineering, drainage, or civil works). Strong organisational skills with the ability to manage multiple tasks simultaneously. Excellent communication skills—both written and verbal. Proficiency in MS Office (Excel, Word, Outlook) and project software such as MS Project, Aconex, Procore, or similar. High attention to detail and accuracy in documentation. Knowledge of drainage systems, wastewater/stormwater networks, and related industry practices. Understanding of permits, RAMS, and construction compliance requirements. Experience handling CCTV drain survey data, GIS platforms, or mapping software. Familiarity with health & safety principles (CSCS or equivalent certification is a plus).
