3VHealthcare Ltd have been commissioned by the NHS since 2008 and aregraded as 'Good' with areas of outstanding by the CQC.We are looking for an Administration Assistant to join our busy teambased in Chapel-en-le-Frith and providing support to outpatient clinics withinDerbyshire and Cheshire.The successful applicant will work within the business providing highquality administration support to patients and colleagues.The post holder will work closely with the Service Managers, Cliniciansand other administration staff to ensure our patients experience a safe andsmooth pathway through the service.Please be aware that this role is not eligible for visa sponsorship.Applicants must already have the legal right to work in the UK.Main duties of the jobThe post holder will work within the organisation providing high qualityadministration support across all aspects of the business. They will beresponsible for a range of duties from processing referrals to arrangingappointments, clinic preparation and outcomes and dealing with generalenquiries. The post holder will work closely with the service managers,clinicians and other team members to ensure patients experience a safe andsmooth pathway through the service.The post holder will also be required to contribute to the improvementand development of the service.Attached to this advert is a full and comprehensive Job Description and Person Specification.About us3VHealthcare Ltd has been delivering high quality patient carecommissioned by the NHS since 2008. Services include the provision ofconsultant led outpatients, minor surgical and diagnostic procedures for NHSpatients in Derbyshire and the surrounding areas. The organisation was createdby local GP Practices with the aim to provide excellent, local care in a widerange of specialities.3VHealthcare Ltd has a multi-level organisational structure. Theorganisation is led by 3 Executive Directors, and is supported by a Head ofBusiness and Operations, a Business and Information Manager and a ClinicalServices Manager.The services are led by 16 clinicians, 3 Service Managers and a clinicalpharmacist.Healthcare and administrative support is provided by6 team membersworking a combination of full and part time hours.Job responsibilitiesThe below sections outline some of the main duties and responsibilitiesof the post holder. This is not an exhaustive or inflexible list and the postholder may be required to undertake other duties to support the needs of theorganisation.Administration SupportWelcome patients, relatives and other visitors to clinics providingclear instructions and information regarding their appointments.Provide help and advice to patients in clinic settings and over thetelephone.Assist with management of office answerphones and action or escalatetasks as appropriate.Register Patients accurately onto the Patient Administration Systems.Action and process referrals received via email and the NHS e-referralservice.Book, adjust and cancel patients appointments as required.Regularly undertake telephone contact to confirm appointments withpatients.Assist service managers with input of data and associated administrationtasks as required.Upload dictations to allocated typing services.Upload documents to the patient administration system.Ensure all stock levels are maintained and accurately recorded.Arrange further investigations at Hospitals when required.Book and cancel clinic rooms at host locations.CommunicationUnderstand the roles and responsibilities of all team members to ensureappropriate, effective and timely communication of information.Adhere to the organisations Data Protection Policies at all times whencommunicating with patients, carers, colleagues and outside providers.Deal sensitively with patients and carers, providing appropriatesupport, information and advice.Ensure accurate and secure record keeping using approved systems.Quality and Service ImprovementAssist in the management of waiting list times and improved access tothe service.Report any concerns regarding standards to an appropriate manager or theBoard of Directors.Personal development and educationDevelop the scope of his/her skills to meet the needs of the service andundertake any necessary training required due to the changing needs of patientsand the service.Share knowledge and assist in the orientation of new members of staff.Actively participate in staff meetings to promote development of theorganisation.Actively participate in regular Personal Development Reviews.Person SpecificationResearch and TrainingEvidence of continued professional development.Knowledge of professional issues and innovations in clinical practice.Personal QualitiesFlexible with regard to working arrangements to suit the demands of the service.Performs well under pressure.Full clean UK drivers license Employees must have insurance on their vehicle policy for Business use.A team worker who can demonstrate a collaborative approach to teamwork.SkillsAble to communicate effectively with all members of the team.Familiarity with medical settingAbility to work without direct supervision.A high standard of inter-personal skills.Ability to prioritise workloadExperienceAdministration work based experienceMust be able to work on own initiative as well as within a teamHospital or healthcare work based experienceDealing with patients and/or publicQualifications3 GCSEs or equivalent (including English)IT skills (e.g. Microsoft office package)Health and social care training or work based experienceIT skills (e.g. EMIS or other patient administration systems)Disclosure and Barring Service CheckThis post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions. #J-18808-Ljbffr
