Job Summary We are seeking an individual with strong organisation and planning skills to support our medical equipment contract manager by coordinating the servicing and repair of medical equipment across the Trust. The post holder will be the point of contact between clinical end users and external maintenance providers to ensure planned maintenance takes place according to the prescribed schedule and any repairs are efficiently arranged to minimise equipment downtime. Accurate record keeping of service history and experience of using asset management databases is essential. Key Responsibilities Act as the main point of contact for end users and maintenance providers and ensure scheduled equipment servicing is booked in and completed on time and in accordance with contract terms. Ensure recommendations for remedial work identified following equipment servicing or repair are followed up and fully addressed to maintain safe use of medical devices. Record equipment service history and update maintenance records on the Trust asset register. Maintain accurate records of service contracts to support contract management programmes. Interpret technical information from medical device service records and seek advice from the Medical Equipment Management Service (MEMS) when appropriate. Monitor provider performance to ensure contractors fulfil their contractual responsibilities. Understand contract terms and conditions to determine coverage and assess whether repair costs are included in the contract. Participate in equipment audits to verify the medical device asset inventory. Support the contract manager across a range of internal and external meetings and working groups. Undertake work in accordance with the department quality management system (ISO 13485). Ensure medical device service and maintenance contracts reflect the Trust’s requirements and comply with standing orders and financial instructions. Liaise with external companies on equipment servicing and repairs; communicate with end users to gather necessary background for remote diagnostics. Inform care groups of equipment requiring contracted maintenance cover. Respond to enquiries regarding medical device maintenance contracts professionally and act as the principal contact to wards and departments for contracted maintenance advice and support. Maintain close links and communication with provider representatives to ensure robust performance monitoring is undertaken and recorded in line with regulations and frameworks. Advise clinical users on the need for new or replacement annual service contracts or ad‑hoc servicing. Analyse complex situations requiring comparison of options to minimise downtime, service disruption and cost. Provide information on request for medical device alerts and freedom of information requests. Design reports and dashboards from maintenance records to manage own work and reflect supplier performance, presenting these at contract review meetings. Manage the order‑to‑invoice process for servicing and repairs of medical and laboratory equipment throughout the Trust. Record expenditure on device contracted repairs and ensure budget information is available to senior managers. Liaise with Management Accounts when monitoring expenditure on the Trust‑wide equipment budget. Follow the Trust’s Standing Financial Instructions and other protocols via NHS agencies. Demonstrate a general duty of care for own health, safety and well‑being and that of colleagues, visitors and patients, observing all Trust policies, procedures and statutory obligations. Essential Qualifications and Experience Educated to degree or NVQ Level 6 in a relevant subject, or extensive knowledge, skills and experience in equipment maintenance and support. Experience using equipment management information systems and databases. Experience working with people at different levels, both internal and external. Working knowledge of Microsoft Office applications. Ability to cope with a variety of tasks under pressure, exercise initiative and work autonomously. Well‑developed communication and interpersonal skills. Desirable Qualifications and Experience Experience coordinating medical equipment maintenance activities within a healthcare setting. Experience monitoring equipment maintenance providers. Knowledge of NHS structure. Able to negotiate technical and commercial issues.
