Please apply for this job as soon as you can, if interested Birmingham Community Healthcare NHS Foundation Trust Immunisation Team is responsible for the delivery of the national school based vaccination programme which includes Influenza, HPV, and Teenage booster along with opportunistic offer of MMR vaccinations. We deliver this service across Birmingham and Solihull . The service also delivers the neonatal Hepatitis B vaccination programme. We are looking for enthusiastic and self-motivated Band 3 Immunisation Team Administrator to join our team. The successful candidates will be a primary point of contact for liaison within the clinical team, giving information and guidance to patients, carers, relatives and staff, appropriate to the role. They will work closely with neonatal services, supporting the management of referrals for the neonatal hepatitis B vaccination programme. They will be required to work on their own initiative and organise their own workload without direct supervision on a daily basis to ensure deadlines. The successful candidate will work closely with the Senior Administrator undertaking a comprehensive range of administrative duties, being responsible for the maintenance and updating of efficient filing systems. Main duties of the job To provide a comprehensive administrative support to the School age immunisation team including preparing letters, minutes of meetings and other documentation. Implement and maintain central filing systems for patient records, patient information. Undertake office duties such as photocopying and replenishing information as required . Answer non-clinical queries from clients and their relatives seeking advice. To undertake Data Management, checking and validating data, ensuring accurate records. To record child immunisations onto a Healthcare Management Information System. Liaise with partners to promote immunisation uptake across the area including booking of immunisation sessions/clinics. Person Specification Qualification/ Training GCSE passes in English and Math or equivalent qualification / experience OCR/RSA ll or equivalent NVQ 3 - Business Administration or equivalent Experience Demonstrates ability to communicate with people in a courteous and sensitive manner Competent computer user i.e. Microsoft office systems i.e. power point, excel Strong organisational and prioritisation skills. Ability to manage own time effectively and flexibly Ability to set up/manage effective administrative systems Ability to report on Data from several Datasets Ability to record data onto a reporting system Skills and knowledge Knowledge of various IT packages. Ability to operate all office based equipment. Ability to build effective working relationships within a multi-disciplinary team. Ability to develop and input on basic databases and to produce reports Show understanding of the importance of confidentiality Demonstrates willingness to respond effectively to customers and staff queries.
