We are seeking a highly organised and approachable Studio Administrator to join our Bristol studio. As a Studio Administrator, you will be responsible for supporting the administrative needs of all staff affiliated to your studio. You will undertake a wide range of administrative duties to support this team, and you will work day-to-day in close collaboration with the local leadership and management across all the Business Units in the region to do so (EMEA Theatre Consultancy, Acoustics and CBX). You will be responsible for the smooth day-to-day running of your studio. Although this role is ‘standalone’ in terms of being the sole point of contact providing administrative support in the Bristol studio, you will benefit from becoming part of our global Studio team, and work closely with a number of team members in our global Business Support Team. You will collaborate on global administrative projects and initiatives and work together to enrich and protect the global company culture. The administrative remit in the studio may widen in the future in line with company growth – this may mean some additional tasks will be added to the job description, or that we may bring in additional administrative support where required. To be successful in this role, you must have high attention to detail, an excellent communication style and an ability to multi-task and prioritise accordingly. The Studio Administrator role is pivotal in ensuring our studio spaces are welcoming and available to employees and clients as collaborative, social spaces, with quiet working areas if required. We operate in a distributed working model, with many team members working from outside our studio spaces. However, all of our team members are affiliated with a geographical team and to a physical studio space. You will report to the Studios Manager, and you will have the chance to meet regularly with your line manager to ensure you are fully supported in your role. We will provide role‑specific inductions, ongoing training and professional development to help you succeed. Key Responsibilities Support all team members affiliated to your local studio, on their day‑to‑day requirements including local travel logistics, accommodation booking requirements in line with Company policy and facilities management. Serve as first point of contact for your studio including support for all team members local or visiting, outside visitors, general administrative inquiries, answering the phone and directing calls accordingly. Responsible for operational consistency and legal compliance across all Charcoalblue studios, including ensuring all leases, insurances, business continuity documentation, health and safety, fire safety, studio risk assessments and all related Policies/Procedures are up to date, to ensure the overall safe operations of our studios day‑to‑day. Regional travel agency administration to support global travel policy. Attend and minute key meetings, aid in report compilation/research and attend presentations and training as required. Responsible for coordinating with other Studios team members to ensure smooth operations and common approach on local, regional and global culture and initiatives. Support in the improvement of administrative‑based processes and practices, liaising with other Business Support Team Managers, Associate Directors, and Directors to support business needs, in line our ISO:9001 standard Quality Management System. Key point of contact for all local studio Health & Safety, Fire Safety and Business Continuity compliance tasks, seeking support and sign‑off as required. Support on studio reconfigurations and relocations. Coordinate essential facilities services, such as security, cleaning and waste disposal for the studio. Support in the delivery of BST administrative related tasks. Responsible for coordinating with other BST teams to ensure smooth operations and common approach on local, regional and global culture and initiatives. Support the broader Studios team while working closely with senior management on the delivery of local tasks and initiatives, including but not limited to events such as holiday parties, team‑building activities and study tours. Work closely with regional People team on onboarding new joiners and off‑boarding leavers for local studio. Coordinate with the finance team on Purchase orders, Scope of Works documents, invoices and staff expenses with some light accounts receivable duties. Preparation of bid documentation, organisation of new work materials and resources, and research/conference support. Responsible for ensuring maintenance and utilities contracts and renewals for all studios are in place. Support in data inputting/updating on local studio administrative tasks as required. Support on delivery and configuration of the team’s IT requirements. Support, liaise and collaborate with Business Units on all other specific administrative/studio‑related matters globally, including responding to strategic briefs set out by the BUs and any studio‑specific requests. Responsible for updating local studio Administrator’s Handbook in collaboration with other Administrators as required. Support of other Studios team members to manage spikes in workload. Other ad hoc general studio‑based duties as required. Work proactively to ensure an inclusive culture for globally distributed team of administrators. Qualifications and Key Skills We are open to receiving applications from candidates with a varied range of experience and education. If you meet most of the qualifications below, we encourage you to apply: Experience in an administrative or similar role supporting a small to mid‑size office, or similar experience. Experience with Microsoft Office and Adobe Acrobat and/or Bluebeam. Experience in an administrative or similar role supporting an office with at least 10 employees. High attention to detail with the ability to meet often demanding deadlines, and experience managing a varying workload. Excellent communication skills and ability to work as part of a team; Experience working as part of an international team would be beneficial but is not essential. Google Suite experience would be advantageous. Experience with InDesign or similar design packages (e.g., Photoshop) is preferable, though not essential. Our written work is an integral part of Charcoalblue’s profile, so a high degree of literacy and accuracy is also important. A creative interest or experience in live performance, digital media, architecture, design, visual arts, or similarly related fields is encouraged and welcomed. Charcoalblue offers a competitive salary, with the final base pay dependent on job‑related, non‑discriminatory factors such as experience. Base pay is one part of the total rewards package we provide to recognise and support our employees. Salary range for this role is between £28,000 and £32,000, depending on experience. Your place of work will be our Bristol studio, Monday to Friday, though you may benefit from occasional work from home days with prior arrangement if required. Additionally, some site visits and project meetings may be in person, as required. We will provide you with the necessary IT hardware and software to enable you to carry out your role successfully in line with your duties. There is a three‑month probationary period for permanent roles. Please note the successful applicant must be based in the UK to effectively meet the current needs of our work and local team, and you should be able and willing to travel to external meetings and our UK studios as required, with notice. Take-What-You-Need (TWYN) Leave Team members have no ‘cap’ on the number of days they wish to take in any one year. This means you can plan holiday or vacation time or request time when you need it, without the worry of running out of leave days. TWYN leave requests must follow policy guidelines and team members are encouraged to use a minimum of 20 days of annual leave minimum per annum (prorated in the first year and also prorated in a part‑time position), plus statutory Bank Holidays. Charcoalblue traditionally closes its studios between Christmas and New Year’s Day, resulting in an additional 4‑5 discretionary paid vacation days each year. Upon successful completion of your second year, you will be eligible to join our Private Health Insurance plan, in line with our company policy. Other benefits are accumulative as you progress with the company.
