Job title: Executive PAReporting to: Chief Executive OfficerDate of Issue: October 2025 Role Objective As the Executive PA you will provide administrative, organisational, and strategic support to ensure the CEO, CFO and Chairman’s time is optimised and the business runs smoothly. This role requires exceptional discretion, professionalism, and the ability to operate with initiative and foresight in a fast-paced, entrepreneurial environment. Key Responsibilities Manage and coordinate the CEO’s, CFO’s and Chairman’s complex diaries, schedules, and travel arrangements Prioritise and filter requests for the CEO and CFO’s time, ensuring alignment with business priorities Ensure the CEO and CFO are briefed ahead of key engagements and anticipate their needs, providing proactive solutions and support Handle confidential information with the highest level of discretion Person Specification Qualifications Level 4 Diploma in Regulated Financial Planning (desirable or working towards). Knowledge and Experience Executive support and diary management Strong understanding of UK financial advice processes. Knowledge of FCA regulatory requirements, suitability rules, and advice documentation standards. Background in an IFA, wealth management, or financial planning environment. Exposure to advice process or proposition development. Proven ability to design, document, and refine advice processes or frameworks. Experience interpreting management information (MI), identifying trends, and recommending improvements. Collaboration across compliance, operations, product, and adviser networks. Operational support Prepare letters, high-quality documents, presentations, and reports for meetings as required. Organise and provide support for Board meetings, executive committees, executive offsites, key client engagements and other key business meetings where required Oversee expense management, invoices and related administrative processes Assist in the smooth running of the office environment as required Communication and Stakeholder management Serve as the first point of contact between the CEO and CFO and internal and external contacts Draft and manage correspondence, ensuring clear and timely communication Build strong working relationships across the firm and with external partners, reflecting Shackleton’s collaborative and trusted style This Job Description may be reviewed and subsequently amended to better reflect any changes required in the role. Person Specification Knowledge and experience Previous experience as a PA/EA at Board or C-Suite level, ideally within financial services, professional services, or a fast-paced growth business. Exceptional organisational skills with the ability to prioritise multiple demands. Strong written and verbal communication skills, with excellent attention to detail. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools. Experience managing confidential and sensitive information. Personal Skills Highly professional, discreet, and reliable. Proactive, resourceful, and able to anticipate needs. Calm under pressure with a solutions-focused mindset. Strong interpersonal skills with the ability to build trust and credibility quickly. Flexible and adaptable to evolving business needs.
