Working alongside a small staff team, you will be responsible for oversight of the day to day operational finance for the nursery service which includes processing staff salary sacrifice payments and dealing with other funding sources. Candidates should be educated to a minimum of 5 GCSEs at grades A* - C (incl. English and Maths) or NVQ level 2 in a relevant subject area or equivalent experience in a similar role. The successful candidate will be expected to commence from January 2026. The ability to speak Welsh confidently to carry out certain tasks is essential for this post. Purpose of the Job To deal with the financial aspects of running the successful Daycare Centre and will involve maintaining accurate financial records, raising invoices and liaising with the University’s finance department. Operating a busy Office in the absence of the Manager, to include answering all queries and dealing with visitors. Main Duties and Responsibilities Supporting and liaising with the Manager on a daily basis. Reviewing monthly suggested fee reports raising any concerns with the Manager. Collating data to raise monthly invoices. Collecting fees and maintaining records to ensure fees are paid. Administration of childcare vouchers, pursuing outstanding fees and resolving any account queries. Provide Childcare Offer Wales and voucher information to parents. Provide salary sacrifice scheme information to parents. Reconciliation with Finance Office for card purchases. Order stores from suppliers and maintain full records. Prepare information requested by Gwynedd Council for grants. Order stationary and materials as required. Work with the Agresso finance system and Microsoft Excel. Process daily card payments for fees, including banking summary sheets and payment logs. Liaising with University departments as required. Attend staff meetings whenever possible at times appointed by the Manager. Deal with queries and provide information and advice about the Daycare Centre activities for Parents and visitors in person, in writing and on the telephone and email. Ensure a smooth running office, assisting the Manager with the planning and development of the support service, maintaining required confidentiality at all times. Any other duties as appropriate to the post as directed by the Manager. Other Duties And Responsibilities The post holder will be expected to participate in performance review and developmental activities. Person Specification Essential Qualifications/Training Minimum of 5 GCSEs at grades A* - C (incl. English and Maths) or NVQ level 2 in a relevant subject area or equivalent experience in a similar role. Desirable NVQ level 3 in a relevant subject area. ECDL Certificate. Essential Experience/Knowledge Knowledge of using financial systems. Experience of keeping records of budgets. Experience in using spreadsheets effectively. Experience of raising invoices, pursuing outstanding fees and dealing with card payments. Experience of working in an office environment and dealing with customers. Experience in maintaining confidentiality. Desirable Knowledge of grant schemes, salary sacrifice scheme and childcare vouchers. Experience with ordering supplies and maintaining full, accurate records. Essential Skills/Abilities The ability to collate information from different sources to raise accurate invoices. Excellent organisational and planning skills. Ability to liaise across departments effectively. Desirable Proven ability to communicate effectively with colleagues, parents and visitors. Essential Other The ability to speak Welsh confidently to carry out certain tasks is essential for this post (e.g speaking to staff and students, answering phone calls, dealing with urgent enquiries in Welsh).
