We are seeking a Paralegal with recent Australian law firm experience to support our lawyers across the full lifecycle of matters. Work from our Gold Coast office, remotely, or in a hybrid model. Key Responsibilities Manage client onboarding, conflicts checks and engagement documentation, opening new matters within 24 hours of instruction Coordinate client communications and updates, acknowledging new enquiries within one business day Draft first‑pass documents for solicitor review, including letters of demand, FWC applications, general protections materials, underpayment schedules, witness statements, chronologies and settlement deeds Prepare, file and serve tribunal or court documents accurately and on time, including indexed, paginated bundles and briefs for counsel Support mediations and negotiations by preparing position statements, settlement calculations and draft terms, and by tracking action items to completion Maintain meticulous file management, naming conventions, evidence registers and version control so files are audit‑ready Track deadlines and limitation dates, maintain the critical dates calendar and elevate risks early Record time daily with high accuracy and assist with WIP hygiene, billing and e‑signing of documents Contribute to knowledge assets by maintaining precedents, checklists and case summaries Suggest at least one process or precedent improvement per quarter to improve speed, quality or client experience Collaborate closely with the Principal, Associates, external counsel and experts as required Qualifications and Experience Demonstrated experience as a Paralegal or Legal Assistant in an Australian law firm, ideally in employment law or litigation Working knowledge of Australian employment law issues such as unfair dismissal, general protections, discrimination and underpayments Strong drafting and plain‑English writing skills, with high attention to detail Confident with eFiling, court and tribunal forms, and preparing compliant bundles Proficiency with modern legal tech, including practice management, document management, time and billing, e‑signing, collaboration tools and safe use of AI drafting or research assistance Competent spreadsheet skills for damages, underpayment and interest calculations High level of professionalism, discretion and client care in sensitive matters Tertiary legal studies or a paralegal qualification is preferred Required Skills Excellent written and verbal communication Strong organisation and the ability to manage competing deadlines Analytical mindset and sound judgement Ability to work independently and as part of a small, collaborative team Empathy and resilience when working with vulnerable clients and complex matters Why Join Rubix Legal?
